Responsibilities

Job Summary

The Maintenance Manager is responsible for overseeing the overall maintenance, safety, functionality, and upkeep of the school’s buildings, facilities, equipment, and utilities.

The role involves managing the maintenance team, coordinating preventive and corrective maintenance, supervising contractors and service providers, managing utility-related matters including TNB, and ensuring that the school environment remains safe, functional, clean, and conducive for students and staff.

The Maintenance Manager will work closely with the Principal, Management, Finance, HR, IT, and other departments to ensure timely resolution of facilities and maintenance matters.

Key Responsibilities

1. Maintenance Team Management

  • Lead, supervise, and manage the school's maintenance team.
  • Assign daily maintenance tasks and monitor completion.
  • Prepare and manage maintenance schedules, including preventive and corrective maintenance.
  • Monitor staff attendance, performance, productivity, and quality of work.
  • Provide guidance and technical support to maintenance staff.
  • Ensure maintenance personnel follow proper safety procedures and school policies.
  • Conduct regular inspections of school facilities and identify maintenance requirements.
  • Ensure urgent maintenance issues are attended to promptly.

2. School Facilities & Building Maintenance

  • Oversee the maintenance and upkeep of all school buildings, classrooms, offices, staff areas, laboratories, halls, common areas, and outdoor facilities.
  • Ensure electrical, plumbing, water supply, lighting, air-conditioning, doors, locks, ceilings, flooring, and other building systems are properly maintained.
  • Coordinate repair and maintenance works to minimise disruption to school operations.
  • Develop and implement preventive maintenance schedules for key facilities and equipment.
  • Identify recurring maintenance issues and recommend long-term solutions.
  • Monitor the condition of school infrastructure and recommend repair, replacement, or upgrading where required.

3. Electrical & Utility Management

  • Manage the school's electricity, water, and other utility-related matters.
  • Act as the main liaison with Tenaga Nasional Berhad (TNB) for electricity-related matters.
  • Coordinate with TNB regarding electricity supply, outages, meter issues, inspections, account-related matters, and technical concerns.
  • Monitor electricity consumption and identify opportunities for energy efficiency and cost reduction.
  • Monitor water supply and other essential utilities to ensure uninterrupted school operations.
  • Maintain records of utility accounts, meter readings, usage, and related documentation.
  • Coordinate immediate action in the event of utility disruption or failure.

4. Contractor & Vendor Management

  • Liaise with external contractors, suppliers, and service providers for maintenance, repair, servicing, and project works.
  • Source and coordinate suitable contractors for required maintenance works.
  • Obtain and compare quotations where required.
  • Monitor contractors' attendance, work quality, safety compliance, and completion timelines.
  • Ensure contractors comply with school safety and access requirements.
  • Inspect completed works and ensure issues are properly resolved before closure.
  • Maintain records of contractor works, quotations, service reports, warranties, and related documentation.
  • Escalate contractor delays, quality concerns, or other issues to Management.

5. Specialist Systems & Equipment

Oversee the maintenance and servicing of relevant school systems and equipment, including:

  • Air-conditioning and ventilation systems
  • Electrical systems and distribution boards
  • Plumbing and water systems
  • Water tanks and pumps
  • Fire alarm and fire protection systems
  • Fire extinguishers and emergency equipment
  • CCTV systems and related physical infrastructure
  • Access control, gates, and door systems
  • Lifts and other building equipment, where applicable
  • Generators and backup power systems, where applicable
  • School lighting and external lighting
  • Kitchen and pantry facilities
  • Playground equipment
  • Sports facilities and equipment
  • Swimming pool facilities, where applicable
  • Landscaping and external grounds
  • Drainage and sewage systems
  • Pest control services
  • Waste management facilities
  • Other building and facility-related systems

6. Safety & Compliance

  • Ensure school facilities are maintained in a safe and functional condition.
  • Conduct regular inspections to identify potential hazards and risks.
  • Immediately report significant safety concerns to Management.
  • Ensure maintenance and contractor activities are carried out in accordance with applicable safety requirements.
  • Ensure fire safety equipment and emergency systems are properly serviced and maintained.
  • Coordinate with relevant contractors and service providers for required inspections, testing, and certification.
  • Support the school during emergency situations involving electrical, plumbing, structural, fire, or other facility-related incidents.
  • Maintain proper records of inspections, servicing, certificates, and corrective actions.

7. Cleaning, Grounds & General Upkeep

  • Coordinate with relevant personnel or contractors to ensure the school premises are properly maintained.
  • Monitor general cleanliness and condition of common areas, corridors, washrooms, outdoor areas, and facilities.
  • Coordinate landscaping, gardening, pest control, waste disposal, and other external maintenance services.
  • Ensure washrooms, water facilities, and common areas are functional and adequately maintained.
  • Identify areas requiring improvement and recommend appropriate action.

8. School Events & Operational Support

  • Coordinate facilities and maintenance requirements for school events, meetings, examinations, open days, and other activities.
  • Ensure halls, classrooms, outdoor areas, electrical points, lighting, furniture, and other facilities are prepared before events.
  • Provide operational support during major school events when required.
  • Coordinate post-event inspection and ensure facilities are returned to proper condition.

9. Maintenance Reporting & Documentation

  • Prepare regular maintenance reports for Management.
  • Provide updates on completed, ongoing, and outstanding maintenance works.
  • Maintain a proper maintenance request and tracking system.
  • Record breakdowns, repairs, preventive maintenance, contractor works, and outstanding issues.
  • Maintain an updated asset and equipment maintenance record.
  • Track maintenance costs and expenditure.
  • Prepare reports on recurring issues and recommend preventive or long-term solutions.
  • Escalate urgent or high-cost maintenance matters to Management for approval.

10. Budget & Cost Management

  • Assist Management in preparing the annual maintenance and facilities budget.
  • Monitor maintenance expenditure and ensure spending is within the approved budget.
  • Review quotations and recommend cost-effective solutions.
  • Identify opportunities to reduce recurring maintenance and utility costs.
  • Monitor contractor and service provider costs.
  • Recommend repair versus replacement based on operational requirements and cost considerations.

11. Preventive Maintenance & Continuous Improvement

  • Establish and maintain a preventive maintenance programme for the school.
  • Ensure regular servicing of critical equipment and systems.
  • Monitor equipment performance and identify potential failures before they occur.
  • Maintain a maintenance calendar for scheduled servicing, inspections, and renewals.
  • Recommend improvements to facilities, systems, and maintenance processes.
  • Implement practical measures to improve facility reliability, safety, and operational efficiency.

Qualifications & Requirements

  • Diploma or Bachelor's Degree in Facilities Management, Building Management, Engineering, Electrical, Mechanical, or a related field.
  • Minimum 3–5 years of relevant experience in facilities, building, property, or maintenance management.
  • Previous experience supervising a maintenance team is required.
  • Experience managing contractors, vendors, and service providers.
  • Experience dealing with TNB or other utility providers will be an advantage.
  • Good understanding of building maintenance, electrical systems, plumbing, air-conditioning, and general facilities management.
  • Experience in a school, commercial building, residential development, hotel, hospital, or similar environment is an advantage.
  • Good knowledge of workplace and facility safety practices.
  • Strong organisational and problem-solving skills.
  • Good communication and interpersonal skills.
  • Able to prepare reports and maintain proper documentation.
  • Able to manage multiple maintenance issues and prioritise urgent matters.
  • Able to work independently and coordinate effectively with different departments and external parties.
  • Willing to attend to urgent facility or maintenance matters when required.
