Requirements
We are looking for a responsible and organised Admin Executive to support the daily operations of our automotive workshop.
Your responsibilities include:
Prepare and manage Sales Orders, invoices, receipts and related documents
Maintain accurate customer and vehicle records
Assist with e-Invoice and general administrative documentation
Follow up on pending documents and outstanding matters
Coordinate with Service Advisors, Workshop and Parts/Stock departments
Perform data entry and maintain proper filing
Assist with basic accounts and administrative work
Ensure assigned tasks are properly followed through and completed
Support other daily operational matters when required
Requirements
Previous experience in Admin, Accounts, Automotive or Customer Service is an advantage
Experience with AutoCount is an advantage
Basic Microsoft Excel / Office knowledge
Able to communicate in Mandarin(Better), English and Bahasa Malaysia
Organised, responsible and detail-oriented
Able to prioritise multiple tasks
Good communication and follow-up skills
Willing to learn and take on new responsibilities
Automotive experience is not compulsory. Training will be provided.
We are looking for someone who doesn't just complete tasks, but also takes ownership and follows things through.
Salary: RM3,000 – RM3,800, depending on experience.
Responsibilities
Provide comprehensive administrative support to the team, including managing correspondence, preparing documents, and handling inquiries via phone, email, and in person.
Efficiently manage office operations, ensuring a well-organized and productive work environment, including maintaining office supplies, managing vendor relationships, and overseeing general office upkeep.
Coordinate and schedule appointments, meetings, and travel arrangements for staff, ensuring optimal time management and efficient resource allocation.
Maintain accurate and organized records, both physical and digital, ensuring confidentiality and easy retrieval of information for reporting and operational needs.
Perform data entry tasks with a high degree of accuracy and attention to detail, updating databases and spreadsheets as required.
Assist with basic bookkeeping tasks, including processing invoices, expense reports, and other financial documentation.
Facilitate communication between departments and external stakeholders, ensuring clear and timely dissemination of information.
Support the onboarding process for new employees by preparing necessary documentation and resources.
Manage and organize company events and meetings, including logistics, catering, and attendee coordination.
Handle general office duties such as filing, scanning, photocopying, and mail distribution.
