Job Description

Responsibilities

Responsibilities

  • Produce and distribute correspondence memos, letters, faxes, and forms to support effective communication
  • Develop and maintain organized filing systems to ensure easy retrieval of documents
  • Order and manage office supplies to maintain adequate inventory levels
  • Submit and reconcile expense reports accurately to support financial tracking
  • Provide courteous support and information to visitors, answering questions and requests promptly
  • Research and create presentations to assist in information sharing and decision-making
  • Generate reports to summarize data and support operational needs
  • Prepare and monitor invoices to ensure timely billing and payments
  • Ensure operation of office equipment by performing preventive maintenance, coordinating repairs, and evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock levels, anticipating needs, placing orders, and verifying receipt of supplies
  • Perform administrative duties such as filing, typing, copying, binding, and scanning to support office functions
  • Organize travel arrangements to facilitate staff mobility
  • Handle sensitive information confidentially to protect company data
  • Take accurate minutes during meetings to document discussions and decisions
  • Coordinate office procedures to optimize workflow and efficiency
  • Respond to inquiries via email, telephone, or face-to-face to provide timely assistance
  • Resolve administrative problems to maintain smooth office operations
  • Receive, sort, and distribute mail to ensure proper delivery
  • Manage staff appointments to support scheduling needs
  • Oversee and supervise junior staff to ensure quality and productivity
  • Maintain up-to-date employee records to support HR functions
  • Coordinate repairs to office equipment to minimize downtime
  • Implement clerical duties and administrative processes to support daily operations
  • Conduct data entry accurately to maintain information systems
  • Handle basic HR-related matters including payroll, CPF, and MOM communications confidently
  • Perform other administrative duties as required to support the team

Preferred competencies and qualifications

  • Experience in the Oil & Gas Industry
  • Prefer those with basic accounting & HR knowledge.
