Responsibilities

Operational audits & fieldwork

• Conduct scheduled and unannounced site inspections with physical headcounts and verify attendance against deployment records.
• Run random spot checks, including after-hours visits, to identify ghost attendance, buddy punching, absenteeism and excessive OT.
• Inspect guards' grooming, uniforms, shoes and equipment and coordinate replacements or procurement when standards fall short.
• Compile concise exception and audit reports for senior management with clear corrective recommendations.

Payroll & costing

• Prepare and verify security-service quotations, manpower costing, OT calculations and commercial proposals for accurate billing.
• Audit daily attendance and assist in verifying monthly payroll and salary calculations before submission to Operations Director.
• Check and verify monthly overtime forms and deliver monthly incentive reports to HR by the required deadlines.
• Recommend practical improvements to reduce payroll errors, manpower leakage and revenue leakage.

Branch finance & reconciliations

• Review branch/operator bank statements, collections and payments and perform twice-monthly reconciliations with HQ records.
• Collect and check DO/PO, supplier invoices, drivers' reports and branch stock/sales reports and consolidate daily audit-ready summaries.
• Follow up on outstanding debtor payments, investigate discrepancies and ensure timely posting of receipts and invoices.
• Support month-end closing tasks, bank reconciliations, random stock counts and coordination of half-yearly stock take.

Requirements

Qualifications & Experience

• Minimum Diploma or Degree. Start date: 21-************* on a 3 months Internship Contract.
• Experience in full sets of accounts and internal or external audit.
• Experience in the retail and construction industry.
• Work Location: In person and able to perform regular field visits.

Hard Skills & Knowledge

• Strong financial analytical skills with hands-on experience in reconciliations and bank statement review.
• Excellent Excel skills for costing models, OT calculations and consolidated reporting.
• Practical experience scanning and filing purchase invoices, credit notes and reconciliation of daily cash summaries.
• Familiarity with posting sales invoices, petty cash checks and basic stock movement controls.

Soft Skills & Qualities

• Analytical, highly independent and street-smart with high integrity and a commercial mindset.
• Hands-on attitude; able to work with minimum supervision and guide Accounts Executives when needed.
• Clear written and verbal communication for concise audit reports and SOP improvement suggestions.
• English speaking and willing to work flexible hours for site inspections and after-hours checks.

Core Purpose: To independently support management in commercial costing, manpower/payroll verification, operational site auditing and branch financial compliance.

Key Responsibilities:

• Prepare and verify detailed security-service quotations, manpower costing, OT calculations and commercial proposals.
• Audit daily guard attendance against deployment records and assist in verifying monthly payroll and salary calculations.
• Conduct scheduled and unannounced site inspections, including physical headcounts and verification against attendance records.
• Identify ghost attendance, buddy punching, manipulation, absenteeism, excessive OT or other operational irregularities.
• Inspect guards' grooming, uniforms, shoes, equipment and general deployment standards, and coordinate replacement/procurement where required.
• Conduct random spot checks, including outside normal office hours when necessary.
• Review relevant branch/operator bank statements, collections, payments and amounts outstanding to TGS Headquarters.
• Perform twice-monthly branch reconciliations and follow up outstanding amounts.
• Investigate discrepancies and prepare concise exception/audit reports directly for senior management.
• Recommend improvements to reduce manpower leakage, payroll errors, revenue leakage and operational manipulation.

Candidate profile: Analytical, highly independent, street-smart, commercially minded, strong with numbers, willing to work in the field, able to challenge discrepancies professionally, excellent Excel skills, high integrity and able to think beyond the normal scope of an Operations Executive.
