The Development CAFE (DevCAFE) is a non-profit research, monitoring and evaluation, and technology think tank founded in 2001, headquartered in Jakarta and working in more than 40 countries across Asia, Africa and Europe.
DevCAFE is organising a one-day training workshop for around 40 government officials at a government training facility in Selangor in mid-December 2026, with some participants joining online and a small group of international travellers. The DevCAFE team from Jakarta will lead the event. We need a reliable local coordinator to handle arrangements on the ground in Malaysia before, during and after the workshop.
Scope of Work:
Before the workshop (about 4 days, late October to early December)
- Visit the venue and liaise with the host facility on rooms, catering, internet, accessibility and payment steps.
- Get at least two local quotations each for catering (halal), audio-visual and hybrid equipment, screens, printing, ground transport and airport transfers; help compare them.
- Help book a hotel for about 7 guests near the venue and confirm the rooming list.
- Help find and brief a local photographer and camera operator.
- Share local advice (public holidays, traffic, permits, payment practices) with the Jakarta team.
Rehearsal and workshop days (2 days: 16 and 17 December 2026)
- Be on site from early morning: venue set-up, signage, registration desk, catering timing, vendor management and problem solving.
- Be the Bahasa Malaysia and English link with the host facility and local suppliers.
After the workshop (about 2 days)
- Settle remaining local bills with suppliers and collect all original receipts and invoices.
- Write a short note on local arrangements and lessons for the event report.
Requirements:
- Malaysian citizen or resident with the right to work in Malaysia, based in the Klang Valley.
- At least 3 years of experience coordinating events, conferences or training, ideally involving government agencies.
- Fluent in Bahasa Malaysia and good working English.
- Organised, calm under pressure and good with paperwork and receipts.
