PNA Risk Management Sdn Bhd

Process Safety & Risk Engineering Consultancy

Personal Assistant / Office Administrator

(Admin, HR & Accounts)

Location: Setia Alam, Shah Alam, Selangor (office-based / hybrid)

Employment type: Full-time, permanent

Salary: RM 2,000 – RM 2,500, commensurate with experience

Reports to: Managing Director

About the Role

PNA Risk Management Sdn Bhd is a specialist engineering consultancy providing quantitative risk assessment (QRA), CIMAH, and process safety studies to clients in oil & gas, chemicals, and manufacturing. As a lean firm, we need one capable, trustworthy person to run the business side of the office — keeping administration, HR matters, and day-to-day accounts in order so the engineering team can focus on client work. You will work directly with the Managing Director and handle confidential information daily.

Key Responsibilities

Administration & PA Support

• Manage the Managing Director's calendar, appointments, travel bookings, and meeting arrangements
• Prepare, format, and control documents: proposals, quotations, reports, letters, and tender submissions (registration portals, BoQ forms, supporting documents)
• Maintain company registrations and renewals (SSM, MOF, CIDB, client vendor portals) and track expiry dates
• Handle correspondence, couriering of deliverables, filing (digital and physical), and office supplies
• Track project deliverables, deadlines, and client follow-ups on the Managing Director's behalf

Accounts Support

• Issue invoices against completed milestones, track payments, and follow up on outstanding receivables
• Maintain a simple quotation → award → invoice tracker so all awarded work is billed
• Record expenses, manage petty cash, and keep monthly records tidy
• Liaise with the external accountant, auditor, and company secretary for year-end accounts and tax filings

HR Support

• Process monthly payroll and statutory contributions (EPF, SOCSO, EIS, PCB) on time
• Maintain employee records, leave tracking, and claims processing
• Support recruitment logistics and onboarding paperwork

Requirements

• Diploma in Business Administration, Accounting, HR, or a related field
• 1–3 years in an admin, accounts-assistant, or HR-assistant role (fresh graduates with strong internship experience considered)
• Basic bookkeeping knowledge; familiarity with EPF/SOCSO/EIS/PCB submissions is a plus (training provided)
• Strong Microsoft Word and Excel skills; comfortable learning accounting software
• Good written English and Bahasa Malaysia
• Discreet, organised, and able to work independently — you will often be the one keeping things on track
• Bonus: experience with tender or vendor registration portals (MOF, client procurement systems)

What We Offer

• Salary of RM 2,000 – RM 2,500, commensurate with experience
• EPF, SOCSO, EIS, and annual leave in accordance with the Employment Act
• Office/hybrid working arrangement
• Small-team environment with direct exposure to how a specialist consultancy runs, and training provided
