Job Title: Sales Assistant — Insurance Agency

Office Location: Kajang & Putrajaya

Reports to: Sales Manager / Agency Owner

Employment Type: Full-time

Salary Range: RM1,000 to RM1,500 + commission/bonus structure

Position Summary

Support the agency’s sales team and clients by handling administrative tasks, qualifying leads, scheduling appointments, preparing quotes and application paperwork, and maintaining client records. The Sales Assistant helps drive sales efficiency, improves client experience, and ensures timely, accurate policy processing.

Key Responsibilities

- Lead & Prospect Support

- Qualify inbound leads (phone, email, web forms) using established scripts and intake checklists.

- Enter and track lead information in the CRM; assign leads to agents or follow up as directed.

- Conduct initial outreach to new prospects to schedule appointments or phone consultations.

- Sales Administration

- Prepare, customize and send insurance quotes, comparison summaries, and proposal packets.

- Complete and submit application forms, endorsements, renewals, and cancellation requests accurately and on time.

- Coordinate with underwriters and carriers to obtain binders, rate information and policy documents.

- Track submission status and follow up to move applications to binding/issuance.

- Client Service & Relationship Management

- Act as secondary contact for clients: answer routine policy questions, provide status updates, and route complex issues to producers or service team.

- Process billing inquiries, payment arrangements, and documentation requests.

- Prepare client communications: renewal notices, welcome kits, policy summaries, and claim referral instructions.

- Documentation & Compliance

- Maintain accurate client files and documentation in the agency management system and paper files when required.

- Ensure all client interactions and documentation comply with agency procedures and regulatory requirements (e.g., privacy, consent).

- Assist with license and continuing education tracking for agents (as applicable).

- Reporting & Operations

- Produce periodic reports: lead conversion, pipeline status, appointment metrics, and renewal reports.

- Support onboarding of new agents by preparing materials and coordinating access to systems.

- Identify process improvement opportunities and assist with implementation.

Qualifications & Experience

- Education: Degree or equivalent required; Associate’s or Bachelor’s degree in sales, marketing, insurance, or related field preferred.

- Experience: 1–3 years in insurance agency support, customer service, or sales administration preferred. Experience with personal lines and/or commercial lines insurance is a plus.

- Licensing: Insurance producer license preferred but not always required; willingness to obtain required licenses within 6 months.

Skills & Competencies

- Communication: Clear verbal and written communication; professional phone etiquette.

- Customer service: Client-focused, patient, and solution-oriented.

- Organizational: Strong attention to detail, ability to manage multiple tasks and deadlines.

- Technical: Proficient with Microsoft Office (Outlook, Word, Excel). Experience with agency management systems (AMS/CRM) and comparative rating tools is a plus.

- Sales support aptitude: Comfortable qualifying leads, using scripts, and assisting agents with closing tasks.

- Problem solving: Ability to escalate appropriately and follow through until resolution.

- Renewal retention and policy issuance turnaround time
