Responsibilities

Job Purpose

  • To provide administrative and coordination support to the Legal Counsel in managing contracts, legal documentation and related administrative matters. The role will work closely with internal business teams to ensure documents, information, approvals and follow-up actions are properly coordinated and completed within the required timelines.

Job Responsibilities

  • Provide general administrative and coordination support to the Legal Counsel.
  • Coordinate with Commercial, Operations, Finance, HR and other business teams on contract and legal-related matters.
  • Maintain and regularly update the contract master list, legal trackers and other records.
  • Track contract expiry and renewal dates and follow up with the relevant business teams.
  • Coordinate contract execution, including arranging signatures, stamping and filing of completed agreements.
  • Follow up with internal stakeholders on documents, information and approvals required for Legal review.
  • Maintain an organised repository of contracts, legal documents and supporting records.
  • Update contract information in Salesforce and other systems, where required.
  • Provide administrative support for company secretarial matters, including coordinating information, documents and signatures required by the Company Secretary.
  • Assist with insurance administration, including tracking renewals and coordinating supporting documents.
  • Assist with litigation, claims and external counsel documentation and maintain the relevant trackers.
  • Coordinate stamping of agreements with LHDN where required.
  • Prepare and update legal status reports and other administrative information required for management reporting.
  • Perform other administrative and coordination duties as assigned by the Legal Counsel.

Key Skills

  • Good understanding of contract administration processes, including drafting coordination, review workflow, execution, renewal, and record management.
  • Good organisational and coordination skills.
  • Experience tracking contract obligations, milestones, expiry dates, renewals, and related follow-up actions.
  • Good communication skills and ability to work with different business teams.
  • Proficient in Microsoft Excel, Word and document management.
  • Able to manage multiple tasks and deadlines.
  • Able to handle confidential information appropriately.

Job Types: Full-time, Permanent

Pay: RM2,500.00 - RM3,000.00 per month
