Responsibilities

Role Overview
We are seeking a qualified Event / Project Coordinator to join our Events & Exhibitions team and support our upcoming projects lined up to December 2026.

You will work closely with the Project Lead and wider team to support the planning, coordination and execution of multiple events and exhibition projects.

This role requires demonstrated initiative, strong project management skills, and the ability to independently manage operational workflows and deliverables.

Key Responsibilities

  • Project Administration: Maintain timelines, trackers, schedules, floorplans, meeting notes, and action items across concurrent projects.
  • Vendor & Client Coordination: Follow up on deliverables, request quotations, perform basic cost comparisons, and manage invoices/documents.
  • Logistics & On-Site Support: Assist with artwork checks, printing, deliveries, setup/teardown, staffing, venue access, and post-event teardown/closing.
  • Operational Monitoring: Track project deadlines and proactively flag potential issues or missing information.

Requirements

  • Diploma or equivalent qualification; experience in events, exhibitions, or project admin preferred. Ideally min. 2 years of prior working experience in Events or Project Management role.
  • Strong organizational skills with proven ability to manage tight timelines in a fast-paced environment.
  • Proficiency in MS Office / Google Workspace; basic knowledge of Adobe Illustrator/Photoshop and AI tools (e.g., ChatGPT) is a plus.
  • Clear communication skills for managing clients, vendors, and internal teams.
  • Flexibility to work non-standard hours and support on-site event operations as required.

Pay: $2,500.00 - $4,000.00 per month
