Responsibilities

About the Role

The Planning Executive will support the Planning Manager in coordinating day-to-day supply, material, production, inventory, and shipment planning activities.

This position serves as a key coordination point between Planning, Production, Customer Service, Procurement, Warehouse, Logistics, Shipping, Sales, and Commercial teams. The role is responsible for maintaining accurate planning information, monitoring material and inventory availability, tracking production performance, and supporting timely customer order fulfilment.

The successful candidate must be comfortable working in a fast-paced manufacturing environment where demand, supply, material availability, production priorities, and customer requirements may change frequently.

Key Responsibilities

Planning and Scheduling

  • Support the Planning Manager in preparing, maintaining, and monitoring supply and production plans.
  • Assist in managing the rolling supply plan to support production capacity and resource utilization.
  • Coordinate with Production, Customer Service, Procurement, Warehouse, Logistics, and Shipping teams to ensure alignment between production plans, material availability, customer orders, shipment requirements, and lead times.
  • Monitor daily and weekly production schedules and highlight potential gaps, delays, or supply risks to the Planning Manager.
  • Support the balancing of supply and demand to facilitate timely customer order fulfilment.
  • Assist in monitoring On Time In Full, or OTIF, performance and service-level targets.
  • Support planning activities for urgent orders, rush orders, and changing business requirements.
  • Maintain accurate planning data and ensure relevant system information is updated promptly.

Material and Inventory Management

  • Monitor the availability of Raw Materials, Packaging Materials, and Finished Goods required to support production and shipment plans.
  • Assist in reviewing Material Requirements Planning, or MRP, recommendations and highlight material shortages or planning concerns.
  • Coordinate with relevant stakeholders to support Just-in-Time material availability.
  • Monitor stock levels, stock ageing, excess inventory, slow-moving inventory, and blocked stock.
  • Support corrective and follow-up actions relating to excess, slow-moving, obsolete, or blocked materials.
  • Assist in monitoring Finished Goods availability against customer orders and shipment requirements.
  • Support inventory analysis and provide updates on stock position, material availability, and potential supply risks.
  • Ensure inventory and planning records are accurate and updated in the relevant systems and tracking files.

Production and Shipment Monitoring

  • Monitor daily production output against the agreed production plan.
  • Identify and highlight production deviations, material constraints, and potential order fulfilment issues.
  • Coordinate with Production and other relevant stakeholders to understand operational gaps affecting the supply plan.
  • Maintain daily shipment tracking information and update stock and order status.
  • Monitor Finished Goods stock levels, customer order requirements, shipment fulfilment, and OTIF performance.
  • Support export and shipment planning based on production availability and monthly sales requirements.
  • Respond to enquiries relating to stock availability, shipment dates, production status, and customer order fulfilment.
  • Support coordination with Shipping and Warehouse teams on shipment priorities and operational requirements.

Reporting and Data Management

  • Prepare and maintain daily, weekly, and monthly planning and inventory reports.
  • Monitor daily production output against the production plan and highlight deviations.
  • Provide regular updates on inventory status, material availability, Finished Goods position, and supply risks.
  • Maintain shipment, stock, production, and planning tracking files.
  • Support inventory analysis, including ageing, excess stock, blocked stock, and Past Due reporting.
  • Download, review, and update relevant SAP data required for stock, material, production, and shipment monitoring.
  • Assist in preparing information required for supply chain reviews and S&OE discussions.
  • Ensure all planning data, reports, and system updates are accurate, reliable, and completed within the required timeline.

Meetings and Cross-Functional Coordination

  • Participate in relevant daily, weekly, and monthly operational and supply chain meetings.
  • Support discussions on production output, material availability, inventory status, shipment requirements, and supply risks.
  • Coordinate regularly with Production, Customer Service, Procurement, Warehouse, Logistics, Shipping, Sales, and Commercial teams.
  • Assist the Planning Manager in following up on agreed actions arising from planning and operational reviews.
  • Communicate changes in supply, material availability, production schedules, and shipment commitments to relevant stakeholders.
  • Provide timely responses to enquiries from internal stakeholders regarding stock availability, order status, shipment dates, and planning priorities.
  • Support the preparation and coordination of information required for monthly S&OE reviews.

Operational Support and Issue Resolution

  • Assist in identifying planning disruptions, production constraints, material shortages, and supply risks.
  • Escalate significant planning or operational issues to the Planning Manager.
  • Coordinate with relevant departments to support practical mitigation and recovery actions.
  • Support urgent and ad-hoc requirements from Sales, Commercial, Customer Service, Production, Warehouse, and Shipping teams.
  • Assist in the management of blocked stock and other inventory-related operational issues.
  • Support continuous improvement initiatives relating to planning accuracy, inventory management, reporting, and operational efficiency.
  • Perform other planning and supply chain responsibilities assigned according to business and operational requirements.

Requirements

  • Minimum Diploma or Bachelor’s Degree in Supply Chain Management, Business Administration, Operations Management, Food Science and Technology, Planning, or a related field.
  • Approximately 2 to 3 years of hands-on experience in supply chain planning, production planning, material planning, inventory planning, or a related function.
  • Experience working in a fast-paced manufacturing environment will be an advantage.
  • Good understanding of supply chain processes, production flow, material planning, inventory management, and customer order fulfilment.
  • Familiarity with Material Requirements Planning, MRP, and Just-in-Time, JIT, planning concepts.
  • Proficient in Microsoft Office, particularly Microsoft Excel.
  • Working knowledge of SAP or a similar ERP system will be an advantage.
  • Able to analyse operational data, maintain accurate reports, and identify potential planning or inventory issues.
  • Good written and spoken communication skills in English and Bahasa Malaysia.
  • Knowledge of GMP, food safety, Halal, safety, quality standards, and manufacturing procedures will be an added advantage.
