Job Description
Answer incoming telephone calls in a friendly and professional manner and direct enquiries to the appropriate colleague.
Welcome customers, visitors, employees, and business partners to the office.
Support the management, HR and other departments with general administrative and coordination tasks.
Help maintain a welcoming, organized, and positive office environment.
Monitor office supply levels and place orders when required.
Ensure that office pantries are clean, organized, and adequately stocked.
Coordinate and renew office-related service contracts, including water dispensers, utilities, fire extinguishers, and other building or facility services. Maintain proper records of those contracts.
Liaise with building management, service providers, and external contractors when necessary.
Organize the monthly office birthday lunch and other internal office activities when required.
Perform other administrative duties that contribute to the smooth operation of the office.
Requirement
At least one year of relevant working experience in administration, office coordination, reception, or a related position.
Basic knowledge of Microsoft Office, including Outlook, Word, and Excel.
Good spoken and written English.
Strong interpersonal and communication skills.
Excellent organizational and time-management skills.
Able to manage several responsibilities while remaining calm, friendly, and professional.
Self-motivated and able to work independently.
A supportive team player who enjoys helping others.
Trustworthy, responsible, and able to handle confidential information with discretion.
