This role is central to keeping project data, workflows, integrations, and user access accurately configured and functioning across the PMO's technology stack.

Reporting to the PMO Systems Lead, you will work closely with the operations, commercial, finance and HR team to ensure everything 'in and out of Procore' — from project set-up through to integrated field and progress-capture tools — runs smoothly for the wider business.

Key Responsibilities

  • Create and configure new projects
  • Add users to projects and assign appropriate permission roles
  • Collaborate with Project Managers to upload budget templates and establish monthly billing periods for progress claims.
  • Apply and update approval workflow templates in accordance with the Delegation of Authority, ensuring all approval roles are correctly assigned.
  • Customise the Procore environment to align with organisational needs, including configuring integrations and managing data fields.

Integrated Systems Support

  • Support and maintain systems that integrate with Procore, including SiteSense, Breadcrumb, and OpenSpace, ensuring data flows correctly between platforms.
  • Work with the PMO Systems Lead and relevant stakeholders to troubleshoot integration issues
  • Monitor system integrations for errors or data discrepancies and coordinate resolution with Finance and Commercial team.
  • Assist in the rollout, configuration, and ongoing administration of new PMO systems and tools as they are introduced.

User Support & Training

  • Provide daily support to users by troubleshooting and resolving issues related to Procore and connected platforms.
  • Respond to user queries, guide them through system functions, and escalate technical issues to relevant stakeholders when necessary.
  • Deliver training to ensure effective use of Procore and related systems, including creating training materials and conducting workshops.

Coordination

  • Coordinate with internal teams to ensure smooth onboarding of new users and resolution of access or configuration issues.
  • Liaise with the PMO Systems Lead on system improvements, upgrades, and standardisation of processes across the PMO's toolset.

Requirements

  • A bachelor's degree or equivalent qualification in any field (an engineering or IT background is not essential).
  • 1-3 years of experience in project coordination, construction administration, or a system support role.
  • Proficiency in both written and spoken English, for clear communication with local and international teams.
  • Strong attention to detail with the ability to follow structured processes.
  • Comfortable working with Excel, form-based templates, and document tracking systems.
  • Strong communication and coordination skills to work effectively across departments.
  • Experience providing user support, troubleshooting system issues, or onboarding users to new platforms would be an advantage.
  • Procore experience is ideal but not essential.
  • Experience with ERPs (SAP, Oracle, MS Dynamics 365) is ideal but not essential.

Soft Skills

  • Proactive, resourceful, and willing to learn new systems.
  • Able to work independently and manage tasks with minimal supervision.
  • Strong problem-solving skills and ability to troubleshoot issues effectively.
