Job Description

Responsibilities

Responsibilities:

  • Handle foreign worker matters, including employee welfare, work performance, grievances, industrial relations, disciplinary matters, and other employment-related issues.
  • Manage foreign worker work permit renewal, passport, insurance, FOMEMA, medical check-up, air ticket arrangements, and other related matters.
  • Prepare, submit, and follow up on documents and applications with Immigration Department, embassies, government agencies, and other relevant authorities.
  • Assist foreign workers with CIMB bank account opening, ATM card collection, and other banking matters, when required.
  • Manage and monitor foreign worker hostel matters, including accommodation, occupancy, cleanliness, maintenance, utilities, and related records.
  • Handle and assist in monthly payroll processing, including checking attendance, overtime, allowances, deductions, leave, and other payroll-related information.
  • Ensure all payroll and employee information is accurate and submitted within the required timeline.
  • Assist with recruitment activities, including job posting, candidate screening, interview arrangement, communication with candidates, and onboarding.
  • Coordinate and manage internship students, including recruitment, interview arrangement, placement, onboarding, attendance, documentation, and general welfare.
  • Ensure all employee records and HR documents are properly maintained, updated, filed, and easily retrievable.
  • Handle PPE and uniform issuance, replacement, stock monitoring, and maintain proper issuance records.
  • Coordinate clinic and medical arrangements for employees, particularly foreign workers, including FOMEMA and other required medical appointments.
  • Assist in organizing and coordinating training programs, including scheduling, attendance, documentation, and training records.
  • Assist in handling employee grievances, disciplinary matters, warning letters, counselling, and other industrial relations matters.
  • Maintain proper housekeeping of HR records, both physical and electronic, and ensure confidentiality of employee information.
  • Assist with government submissions, HR reports, letters, forms, and other HR documentation as required.
  • Support HR activities, employee welfare programs, company events, and other HR initiatives.
  • Perform any other HR-related duties and responsibilities assigned by the superior from time to time.

Requirements:

  • Diploma / Degree in Human Resources, Business Administration, Management, or related field.
  • Preferably 1–2 years of working experience in HR administration, especially in foreign worker management.
  • Familiar with foreign worker permit, passport, FOMEMA, insurance, Immigration, embassy, and hostel matters.
  • Good administrative, documentation, and organizational skills.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office, especially Microsoft Excel and Word.
  • Able to handle confidential information with integrity.
  • Able to work independently, manage multiple tasks, and meet deadlines.
  • Willing to handle operational matters involving foreign workers, government agencies, clinics, banks, hostels, and other external parties.

Working Hour

  • Monday to Friday, 8.30am-5.30pm

Job Type: Full-time

Pay: RM2,000.00 - RM2,500.00 per month

Work Location: In person
