Responsibilities

The Outbound Executive manages outbound warehouse operations, including picking, staging, loading and dispatch, ensuring accurate stock movement in HAVI and SAP. The role coordinates order fulfilment and truck schedules, maintains safety, 5S and procedural compliance, and works with relevant stakeholders to resolve discrepancies and ensure timely, accurate deliveries.


Responsibilities

  • Oversee and coordinate daily outbound operations, including order processing, picking, tally checking, staging, loading, and dispatch to ensure timely and accurate deliveries.
  • Ensure accurate picking and loading by verifying item code, batch number, expiry date, quantity, and FIFO/FEFO requirements.
  • Ensure proper utilization of the HAVI Warehouse Management System (WMS) for order processing, picking, inventory movements, and outbound transactions.
  • Coordinate branch transfers and ensure transfer orders are accurately picked, checked, documented, loaded, and dispatched according to schedule.
  • Monitor outbound KPIs, including picking productivity, order fulfillment, OTIF, loading efficiency, and dispatch performance, and take corrective actions when required.
  • Coordinate with Sales, Customer Service, Transport, Planning, and Inventory teams to ensure smooth and timely order fulfillment.
  • Monitor and resolve outbound discrepancies, including short picks, wrong picks, damages, posting failures, and loading errors, and prepare the necessary write-off documentation for outbound damages.
  • Oversee the outbound team through manpower planning, performance monitoring, and training of new and existing staff.

Qualification, Experience & Skills

  • Bachelor’s Degree or Diploma in Logistics, Supply Chain Management, Business Administration, Operations Management, or a related field
  • 3 to 5 years of experience in handling outbound operations.
  • Proficient in HAVI and SAP systems for managing outbound operations, order processing, stock movement, picking, tally checking, loading, dispatch transactions, and inventory reconciliation, with strong knowledge of warehouse processes, quality checks, and compliance with safety and 5S standards.
  • Skilled in logistics coordination, branch transfers, transport planning, truck loading, delivery documentation, and outbound reporting, with the ability to analyze data, monitor order fulfillment, track shipments, and ensure accurate and timely dispatch of goods.

  • Able to analyses outbound operational data, identify trends and recurring issues, and implement appropriate actions to improve picking, loading, dispatch, and OTIF performance.
  • Able to lead and motivate the outbound team by promoting continuous learning, knowledge sharing, coaching, and development to strengthen operational capability.
  • Demonstrate adaptability and flexibility in responding to changes in customer requirements, order volumes, transport arrangements, warehouse operations, and business priorities.
  • Able to plan and priorities outbound resources, manpower, equipment, and activities effectively to manage changing operational demands and achieve business objectives.
  • Exhibits a high level of integrity, professionalism, objectivity, personal accountability, and confidentiality when handling operational information, inventory data, customer orders, and sensitive business matters.
