JOB DESCRIPTION

We are seeking a dedicated anddetail-oriented Procurement Coordinator / Executive to manage the organization’sprocurement activities in compliance with established policies, regulatoryrequirements, and industry best practices (e.g., Chartered Institute ofProcurement & Supply standards). You will work closely with project teamsand suppliers to ensure ethical, transparent, cost-effective, and timelyprocurement outcomes.

Key Responsibilities:

• Issue purchase orders based on requirements from Project Managers or Project Coordinators
• Maintain accurate records of contracts and purchase orders, organized by project and serial number
• Obtain and verify vendor invoices against corresponding purchase orders
• Secure approval for purchase invoices and submit them to the Finance department for payment processing
• Follow up on delivery schedules upon payment completion
• Collaborate with project teams on ad-hoc procurement and administrative matters
• Manage end-to-end procurement activities, including Approval of Requisitions (AOR), quotation sourcing, and tender exercises, in line with procurement policies and regulatory guidelines
• Administer procurement-related contracts and vendor engagements, including vendor registration, record maintenance, documentation, and ongoing communication
• Ensure all procurement processes are conducted fairly, transparently, and in full compliance, with complete documentation and proper audit trails
• Provide guidance to internal departments on procurement policies, procedures, governance requirements, sourcing strategies, specifications, evaluation criteria, and documentation
• Contribute to procurement-related projects and organisational initiatives, and undertake additional duties as assigned by the Reporting Officer

QUALIFICATIONS & REQUIREMENTS:

• Diploma in Procurement, Supply Chain Management, Business Administration, or a related discipline
• Minimum 3–5 years of relevant procurement or purchasing experience, preferably in a regulated or service-based organisation
• Candidates with 1–2 years of procurement experience in the Oil & Gas sector will have an added advantage
• Professional certifications such as CIPS (Chartered Institute of Procurement & Supply) or equivalent qualifications are preferred
• Strong understanding of procurement governance, contract administration, and vendor management
• Familiarity with relevant procurement regulations, compliance requirements, and internal controls
• Excellent communication, negotiation, and stakeholder engagement skills, with the ability to prepare clear procurement documents and reports
• Highly organised and detail-oriented, with strong analytical skills and the ability to independently manage multiple procurement activities effectively
