About the Company
We are an established company operating in the Oil & Gas industry, providing services and manpower support to clients across multiple work bases. We are looking for a hands-on Human Resource & Administration Executive to support the full spectrum of HR and administrative operations across the Company.
Key responsibilities
1. Recruitment & Onboarding
- Lead recruitment activities including job advertising, resume screening, shortlisting, interview arrangement, participation in interviews, candidate selection and reference checks.
- Prepare recruitment-related documentation including comparison studies, appointment letters and other relevant documents.
- Assist in sourcing and recruiting Direct Hire (freelance) personnel on a project basis, in coordination with the Operations Team to identify specific qualifications and requirements for designated positions.
- Coordinate and conduct new employee orientation and onboarding programmes.
2. HR Operations & Employee Relations
- Handle employee disciplinary and grievance matters in accordance with Company policies and procedures.
- Address employee enquiries and provide appropriate advice on HR policies, procedures and employment-related matters.
- Maintain and update employee master records, including new joiners, resignations, transfers and retirements.
- Maintain and monitor attendance, leave, claims, training and other employee-related records.
- Manage and update panel clinic and other employee welfare-related matters.
3. Payroll, Claims & Benefits
- Prepare and process monthly payroll for Company employees and Direct Hire manpower, including payslips and statutory contributions/payments such as EPF, SOCSO, HRDF, PCB and Zakat.
- Review and verify employees’ monthly claims and project allowance claims and maintain the relevant records.
- Ensure payroll and employee-related records are accurate and maintained accordingly.
4. Training & Development
- Coordinate training programmes based on identified training needs.
- Assist in Training Needs Analysis (TNA), training evaluation and training records.
- Coordinate HRDF-related matters, including payments and claims.
5. HR Compliance & ISO
- Maintain and monitor the internal audit system relating to ISO 9001:2015 Quality Management System.
- Ensure HR practices and documentation comply with applicable Company policies, procedures and statutory requirements.
- Liaise with relevant authorities and institutions on HR and administrative matters, including EPF, SOCSO and JTK.
6. General Administration & Facilities
- Handle and monitor insurance matters for Company offices and warehouses.
- Monitor and maintain Company assets, facilities and equipment, including alarm systems, telephone systems, door access control, CCTV, lift, printers, water dispensers, air-conditioning and other building-related facilities.
- Coordinate local delivery and courier services.
- Liaise with suppliers and obtain quotations for goods and services.
- Prepare monthly reports and annual budgets for administrative and general expenses, including petty cash reimbursement.
- Coordinate flight, accommodation and transportation arrangements for Company employees.
- Manage office stationery and pantry supplies.
- Liaise with relevant local authorities and organisations on administrative matters, including MPK, MBSA and other applicable registrations or renewals.
- Perform other HR and administrative duties as assigned from time to time.
What We’re Looking For
- Degree in Human Resources, Business Admin or related field
- 1–2 years of relevant HR experience, preferably with exposure to both HR and administration.
- Good knowledge of HR operations, payroll and statutory requirements.
- Good communication, coordination and interpersonal skills.
- Good analytical and problem-solving skills.
- Good knowledge of ISO 9001:2015 Quality Management System.
- Familiarity with Info-tech system is an added advantage.
