Singapore
Swiftly Pte. Ltd.
Full-Time
Swiftly is a technology-driven corporate service provider in Singapore, built with the goal of making corporate services simpler, faster, and more efficient for businesses.
We combine strong corporate secretarial and compliance expertise with technology, AI, and automation to reduce unnecessary administrative work and provide clients with a more seamless experience.
As Swiftly continues to grow, we are looking for an experienced, driven, and detail-oriented Corporate Secretarial Executive to join our team.
This role is ideal for someone who enjoys taking ownership of their work, is comfortable operating in a fast-moving environment, and wants to be part of a growing company that is actively rethinking how traditional corporate secretarial work can be done better.
If you are looking for opportunities to progress beyond an executive-level role and contribute to the development of a rapidly growing business, we would love to hear from you.
Manage and take ownership of a portfolio of Singapore companies across various industries
Prepare directors’ resolutions, shareholders’ resolutions, minutes, and other corporate secretarial documents
Handle company incorporations, striking off, changes of directors and shareholders, registered office changes, and other ACRA matters
Prepare and file Annual Returns and other statutory filings
Handle share allotments, share transfers, changes in share capital, and other corporate exercises
Maintain and update statutory registers and corporate records
Monitor statutory deadlines and ensure timely compliance with regulatory requirements
Liaise directly with clients, government authorities, banks, auditors, and internal teams
Advise and support clients on routine corporate secretarial and Companies Act matters
Identify potential compliance issues and escalate more complex matters where appropriate
Review or guide work prepared by junior team members where required
Work closely with other functions to ensure clients receive timely and effective support
Participate actively in process improvement, automation, and technology initiatives
Provide feedback on existing workflows and identify opportunities to simplify or automate repetitive processes
Adapt to new systems and technology as Swiftly continues to develop its service platform and internal capabilities
Swiftly is still at an exciting stage of its growth.
Rather than joining a large organisation where processes and structures are already fixed, you will have the opportunity to contribute directly to how our Corporate Secretarial function develops.
Strong performers will be given opportunities to take on greater responsibility as the company expands.
We believe strong performers should be recognised and given room to progress.
As a Senior Corporate Secretarial Executive, you may have opportunities to:
Take ownership of larger or more complex portfolios
Guide and support junior team members
Participate in improving departmental processes
Take on additional leadership responsibilities
Progress towards Assistant Manager and managerial positions
Participate in future expansion and new initiatives as Swiftly grows
Swiftly was built around the idea that corporate services should not rely unnecessarily on repetitive manual work.
We actively invest in technology, AI, and automation to improve workflows and make our team more productive.
Our goal is for Corporate Secretarial professionals to spend less time performing repetitive administrative tasks and more time on work that requires professional judgement, problem-solving, client service, and expertise.
You will also have opportunities to work alongside our technology and automation teams to identify processes that can be improved or automated.
Because Swiftly is growing, good ideas can be implemented quickly.
We encourage team members to speak up when they see a better way of doing something.
If you identify a workflow that can be simplified, automated, or improved, we want to hear about it.
You will have the opportunity to help shape how the company operates as it scales.
We want to build a workplace where people can perform at a high level while enjoying the people they work with.
Benefits include:
Medical and dental benefits
Performance bonuses
Pantry snacks and drinks
Entertainment and team bonding activities
Supportive management team
Young and energetic working environment
Opportunities for professional and career development
Ideally 1 year or more of relevant corporate secretarial experience in Singapore
Strong hands-on experience with ACRA filings and corporate secretarial work
Good working knowledge of the Singapore Companies Act and relevant regulatory requirements
Experience independently managing a portfolio of Singapore companies
Strong attention to detail and sense of responsibility
Good interpersonal, written, and verbal communication skills
Able to communicate confidently and professionally with clients
Organised and able to manage multiple deadlines effectively
Able to work independently while collaborating well with the wider team
Proactive, dependable, and willing to take ownership of matters from start to completion
Comfortable learning and adopting new technology and systems
Open to changes in workflows as processes are continuously improved and automated
Positive attitude and willingness to continuously learn and improve
Candidates with relevant corporate secretarial or Chartered Governance qualifications will have an advantage.
Salary will be commensurate with experience, capabilities, and the level of responsibility you are able to undertake.
Strong performers can look forward to:
Performance bonuses
Salary progression
Increased responsibilities
Leadership opportunities
Potential progression to Assistant Manager and managerial positions
Opportunities to play a larger role as Swiftly continues to expand
If you are looking for more than a traditional corporate secretarial role, and want to be part of a growing company that is actively using technology and automation to modernise corporate services, we would like to hear from you.
We are looking for people who take pride in their work, enjoy taking ownership, and want the opportunity to grow together with the company.
