Job Summary
The Administrator provides administrative support for the company’s service and project operations. The role involves coordinating schedules, maintaining accurate records, tracking work progress, following up on outstanding matters, and supporting the team to ensure smooth and efficient day-to-day operations.
Key Responsibilities:
1. Service Administration
- Log service calls and create work orders.
- Schedule engineers, appointments, collections, loan sets, and parts follow-up.
- Provide regular status updates and follow up on pending approvals.
- Check service reports, warranty documents, and billing documents for completeness.
- Maintain service case trackers and ensure records are updated promptly.
2. Project Administration
- Create and maintain project folders, codes, registers, and meeting records.
- Track submissions, approvals, procurement, deliveries, manpower, and project milestones.
- Support billing, variations, handover, warranty, and defects documentation.
- Maintain project dashboards and follow up on overdue actions.
- Provide general administrative support to project and operations teams.
Requirements:
- Minimum 1–2 years of administrative or coordination experience preferred.
- Good organisational and time-management skills.
- Good communication and follow-up skills.
- Proficient in Microsoft Office, especially Excel and Word.
- Able to manage multiple tasks and maintain accurate records.
- Detail-oriented, responsible, and able to work independently.
- Experience in service, engineering, construction, or project administration will be an advantage.
- Comprehensive verbal and written English and Mandarin skills are required to serve Mandarin-speaking clients
- Prior experience supporting Singapore clients or teams is an advantage
