Role Summary
The Payroll Specialist is responsible for supporting end-to-end payroll processing for multiple outsourced payroll clients, ensuring payroll is processed accurately, on time, and in compliance with statutory requirements. The role also involves payroll data maintenance, preparation of reports and statutory files, and coordination with clients on routine payroll matters.
Key Responsibilities
- Handle end-to-end payroll processing for assigned clients
- Process monthly payroll inputs including overtime, claims, allowances, deductions, and unpaid leave
- Maintain and update employee master data in the payroll system
- Prepare payroll reports, payslips, bank files, and statutory contribution files
- Ensure compliance with Malaysian statutory requirements, including EPF, SOCSO, EIS, PCB, EA Form, and Form E
- Liaise with clients on payroll timelines, missing information, and routine payroll queries
- Support onboarding of new payroll clients, including payroll setup, data migration, and parallel run
- Perform payroll checking and reconciliation before finalisation
- Ensure all payroll activities are completed within the agreed timeline and internal checklist
- Escalate complex payroll or statutory matters to senior team members when necessary
- Support the team during peak payroll periods and year-end activities
Requirements
- Diploma or Degree in Human Resource, Business Administration, Accounting, or related field
- At least 1 to 3 years of payroll processing experience
- Experience in handling outsourced payroll is an added advantage
- Good knowledge of Malaysian payroll statutory requirements, including EPF, SOCSO, EIS, PCB, EA, and Form E
- Familiar with payroll processing, reconciliations, and payroll reporting
- Proficient in Microsoft Excel and payroll systems
- Able to manage multiple tasks and meet payroll deadlines
- Detail-oriented, organised, and able to work accurately under pressure
- Good communication and interpersonal skills
- Able to work independently and as part of a team
- Strong sense of responsibility and confidentiality
- Ability to communicate in Mandarin is an added advantage.
