Job Title: Executive-HR Services Delivery Team

Location: Penang

Reporting to: Head of HRBP - Associates

Industry: Workforce Solutions (Staffing & Recruitment)

Key Responsibilities

Onboarding & Employee Management

  • Manage hiring documentation and onboarding processes.
  • Conduct new hire induction sessions and system training.
  • Serve as the primary HR contact for associates and clients.
  • Handle employee enquiries relating to payroll, benefits, leave, contracts, and HR policies.
  • Support employee engagement, retention, surveys, and townhall sessions.

HR Operations & Employee Relations

  • Manage disciplinary cases, investigations, counselling sessions, and documentation.
  • Conduct site visits and client meetings as required.
  • Maintain accurate HR records and trackers.

Payroll Coordination

  • Oversee timesheet collection and payroll-related submissions.
  • Coordinate payroll adjustments, claims, invoices, and salary discrepancy resolutions.
  • Work closely with Pay & Bill and client stakeholders to ensure payroll accuracy.

Offboarding & Contract Management

  • Manage resignations, conversions, contract renewals, and abscondment cases.
  • Support tax clearance processes for local and foreign associates.
  • Coordinate offboarding documentation and system updates.

Client Management

  • Act as the key HR contact for client enquiries and escalations.
  • Support renewals, purchase orders, audits, and contract administration.
  • Ensure service delivery standards and response timelines are met.

Requirements

  • Bachelor's Degree in Human Resources, Business Administration, or related field.
  • Minimum 5 years of HR Operations / HR Shared Services experience.
  • Strong knowledge of Employment Act, labour laws, payroll processes, and employee relations.
  • Experience handling disciplinary matters and HR compliance.
  • Excellent stakeholder management, communication, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Detail-oriented, proactive, and service-driven mindset.
