Assistant Centre Manager

Position Title: Assistant Centre Manager

Reports To: Head of Operations / Founders

Department: Operations Management

Location: [Damansara Jaya]

This is the "Glue" of the organization, bridging the gap between Academic Staff, Marketing Teams, and Parents. In this role, you will be the driving force behind student enrolment, academy revenue, day-to-day administration, facilities, HR support and customer relationship management.

You will act as the principal ambassador of the academy—converting student inquiries into enrolments, maintaining high parent satisfaction, managing tutors and administrative staff, and ensuring a safe, inspiring learning environment.

Key Responsibilities

1. Sales & Revenue Growth (Primary Focus)

  • Handle all incoming inquiries (phone, email, walk-ins, social media, messaging platforms) and conduct consultative sales discussions with prospective parents and students.
  • Arrange and oversee diagnostic tests or trial classes, evaluate results with parents, and recommend appropriate academic packages.
  • Plan and execute local marketing activities, holiday workshop drives, open days, and school-outreach initiatives to generate qualified leads.
  • Provide logistical support for Open Houses and Events (managing sign-in sheets, crowd control, refreshments).
  • Monitor term renewals, reduce student dropouts, and up-sell additional subjects or holiday booster programmes.
  • KPI Delivery: Meet or exceed monthly, quarterly, and annual enrolment and revenue targets set by management.

2. Day-to-Day Operations & Administration

  • Ensure the centre is clean, safe, and presentable before the first student arrives. Manage relationships with cleaning staff and maintenance vendors.
  • Supervise the front desk team/receptionist to ensure all visitors (parents, students, guests) are greeted professionally.

  • Manage office supplies, stationery, pantry items, and teaching materials. Ensure stock levels are maintained without wastage.
  • Oversee the maintenance of printers, computers, Wi-Fi, and interactive whiteboards. Liaise with IT support vendors.
  • Manage security protocols, including opening the centre in the morning and securing it at night (alarms, locks).

3. Parent & Client Relationship Management

  • Act as the primary point of contact for parents, addressing academic inquiries, feedback, and operational concerns promptly.
  • Foster a welcoming, professional community environment that drives positive word-of-mouth and parent referrals.
  • Oversee the new student induction process, ensuring all paperwork is completed, schedules are confirmed, and parents are informed of centre rules.
  • Ensure that all centre-wide communications (e.g., closure due to holidays, fee increase notices, policy changes) are sent to parents clearly and on time.
  • Implement parent satisfaction surveys (e.g., scores) and present findings to management with actionable insights.
  • Act as the primary point of escalation for parent complaints or concerns that cannot be handled by the front desk or tutors.

4. People Leadership & Tutor Coordination

  • Supervise administrative/front-desk staff, providing clear guidance, setting daily goals, and monitoring customer service quality.
  • Coordinate with full-time and part-time tutors regarding scheduling, materials availability, attendance, and student feedback.
  • Assist management in onboarding and training new academy staff in customer service and sales processes.

5. HR Support & Staff Coordination

  • Manage the relief/substitute teacher process when tutors are absent.
  • Coordinate job postings and schedule interviews for operational and support staff (admins, cleaners).
  • Handle the operational onboarding for new hires (keys, email setup, policy briefing).

6. Compliance, Health & Safety

  • Act as the centre's Safety Officer. Conduct regular fire drills, maintain first aid kits, and log safety incident reports.
  • Ensure parent and student data is stored securely (both physical files and digital databases) and disposed of correctly when no longer needed.
  • Ensure the centre complies with local business licensing and educational regulations (if any).

Reporting Structure & Collaboration

Reports to: Head of Operations / Founders.

Supervises: Admin / Front Desk Staff, Admin Assistants, Academic Coordinators, Cleaners/Caretakers

Collaboration:

· With Academic Scheduler: To coordinate tutor schedules and classroom allocation.

· With Finance: To forward requests from parents for receipts on fee payments and payment requests from vendors.

Qualifications & Experience

Education: Bachelor’s degree in Business Administration, Management, or a related field.

Experience:

3-5 years of experience in operations management, preferably in education, hospitality, retail, or service industry.

Experience managing a team (even a small one) is essential.

Skills:

  • Crisis Management: Ability to stay calm and solve problems (e.g., a burst pipe, an upset parent, a staff no-show) quickly.
  • Tech Savvy: Proficiency in MS Office/Google Workspace; experience with Education Management Software (similar to Claster) and CRMs.
  • Language: Excellent verbal and written communication skills in [Local Language] and [English/Other].

Terms & Conditions

Employment Type: Full-time.

Work Hours: [e.g., Monday - Friday 8.30/9:30 AM - 5.30/6:30 PM; Saturday, 8:30 AM - 2:30 PM] (must be flexible for weekend events).

Compensation: Base salary

Pay: RM3,200.00 - RM4,600.00 per month
