We are looking for a proactive and detail-oriented Purchasing Assistant to support our procurement and inventory operations. You will be responsible for sourcing materials, coordinating with suppliers, processing purchase orders, and ensuring the timely supply of raw materials and packaging to support production. This role is ideal for someone who enjoys negotiation, planning, and working in a fast-paced manufacturing environment.
Key Responsibilities
- Source raw materials, packaging materials, ingredients, and office supplies from local and overseas suppliers.
- Request and compare quotations to achieve the best price, quality, and delivery terms.
- Prepare and issue Purchase Orders (POs).
- Monitor order status and follow up with suppliers to ensure on-time deliveries.
- Coordinate with the Production, Warehouse, QA, and Finance teams to ensure purchasing requirements are met.
- Monitor inventory levels and plan purchases to prevent stock shortages or overstocking.
- Maintain accurate purchasing records, supplier databases, and procurement documentation.
- Evaluate supplier performance based on quality, pricing, reliability, and service.
- Assist in negotiating pricing, payment terms, and contracts with suppliers.
- Coordinate import and export documentation when required.
- Track material costs and identify cost-saving opportunities.
- Handle supplier complaints and resolve delivery or quality issues.
- Assist with stock counts and inventory reconciliation when required.
- Ensure purchasing activities comply with company policies and procedures.
- Perform any other duties assigned by management.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, Procurement, Logistics, or a related field.
- 1–3 years of purchasing or procurement experience (fresh graduates are welcome to apply).
- Experience in a manufacturing or FMCG environment is an advantage.
- Good negotiation and communication skills.
- Strong analytical and problem-solving abilities.
- Excellent organisational skills with attention to detail.
- Proficient in Microsoft Excel and purchasing/ERP systems (e.g., AutoCount, SQL Accounting, SAP, or similar).
- Ability to manage multiple tasks and work under pressure.
- Able to communicate effectively with suppliers and internal departments.
- Knowledge of import/export procedures is an added advantage.

Pay: RM1,800.00 - RM2,200.00 per month
