The Security Systems & Operations Coordinator supports the safety and security of the HKIS campus through the effective administration, monitoring, and maintenance of security systems, including CCTV, access control, alarms, visitor management, and related technologies. The role works closely with vendors and internal stakeholders to ensure systems remain operational, secure, and aligned with established procedures and school requirements.
In addition, the position provides operational and administrative support to the Security Team by managing security documentation, incident reporting, compliance records, procurement processes, and staff coordination activities. The role contributes to a safe and secure learning environment through continuous improvement initiatives, safety inspections, investigations, training support, and the implementation of security and workplace health and safety practices.
KEY AREAS OF RESPONSIBILITY:
Security Systems Support
- Manage and maintain CCTV, access control, alarm, visitor management, and related security systems.
- Monitor CCTV systems, review footage as directed by the Safety & Security Manager, and coordinate maintenance and repairs with vendors.
- Administer the access control system (iMS), including user profiles, access permissions, card issuance, key management, and issue tracking.
- Liaise with vendors to ensure the timely repair and maintenance of security systems and equipment.
- Monitor security systems and equipment for defects, anomalies, or operational issues, and escalate concerns promptly to the Director of Facilities Management and Safety & Security Manager.
- Manage the Visitor Management System (VMS) and utilize the Venue and Events Management System (VEMS) to coordinate stakeholder requirements.
- Maintain effective access control and key management processes to safeguard campus security.
- Support the development, implementation, and delivery of Standard Operating Procedures (SOPs).
Security Documentation
- Maintain records of HKIS ID card issuance and other security-related documentation.
- Conduct regular safety inspections and audits, document findings, and implement corrective actions as required.
- Maintain centralized records of safety programs, incidents, inspections, training, fire drills, corrective actions, and other compliance-related activities.
- Coordinate incident reporting, ensuring timely, accurate, and complete documentation.
- Investigate serious incidents, analyze incident trends and root causes, prepare reports with recommendations, and implement measures to prevent recurrence.
- Consolidate and maintain security department records and documentation.
- Manage the procurement process for security equipment, including obtaining quotations, processing purchase orders, and tracking completion.
Operational Security Support
- Build and maintain positive working relationships with stakeholders across the school community, ensuring inquiries and concerns are addressed professionally and promptly.
- Manage administrative functions for the Security Team, including staff scheduling, rostering, leave administration, daily briefings, procurement requests, purchase orders, and vendor quotations.
- Support the leadership, development, onboarding, and training of Security Guards, fostering teamwork, collaboration, and high performance.
- Support audits and continuous improvement of security, safety, and operational practices and procedures.
- Promote a safe and secure working environment through the implementation and ongoing enhancement of workplace health and safety initiatives.
- Support security and safety incident management, including appropriate response, escalation, investigation, and analysis of incident trends to reduce future risks.
- Carry out other duties and responsibilities as assigned by the Safety & Security Manager or Director of Facilities Management to meet operational needs.
Other
- Remain up to date with best practices, related rules and regulations in safety and security; effectively communicates and implements changes as required.
- Undertake other duties and functions as required that will impact and strengthen the contributions of the department and overall operations of the school.
Minimum requirements and qualifications:
Education:
- Diploma in Security related discipline.
- Professional training in security management.
Experience:
- Minimum 5 to 8 years of experience in safety and security management.
- Adequate knowledge of and expertise in Safety and Security regulations as well as industry best practices.
- Car park management experience, specifically multi use car parks.
Required skills:
- Strong English communication skills both verbal and written, Cantonese a plus
- Strong interpersonal and diplomacy skills
- Ability to prioritize, multitask and manage assignments; strong organizational and planning skills
- Customer service orientation and an ability to work collaboratively with other teams.
- Knowledgeable of government ordinances and local laws
- First aid, fire safety and knowledge of fire suppression systems
- Skilled in CCTV operation and design and implementation.
- Adept in using access control software to create access groups, generate reports and produce access control cards.
