Responsibilities
About the role
This role encompasses comprehensive HR and Administration responsibilities, including managing HR operations, recruitment, training, employee engagement, compliance and facilities management. Managing Administration assistants, oversee vendor and service provider relationships, and ensure adherence to company policies, labour requirements and quality management standards.
Key responsibilities
Manage attendance, leave, medical claims, overtime and HRMS records, coordinating with the Document Controller to update HR procedures and documentation.
Manage the end-to-end recruitment process, including job advertisements, candidate sourcing, interview arrangements and new employee orientation.
Plan and coordinate training programmes, source suitable training providers, and maintain all training records and documents.
Handle employee disciplinary matters, provide consultation and guidance to employees, and prepare relevant disciplinary documentation and letters.
Manage employees’ uniform, safety shoe, and apron requests, including issuance, replacement, and record maintenance.
Plan, coordinate and organize employee engagement activities and initiatives.
Coordinate and manage employee welfare matters, including medical and emergency support when required.
Oversee housekeeping, cleaning, pest control, landscaping, security, CCTV, waste collection, vending machines and other general site services.
Coordinate and monitor vendors and service providers, handle service issues, employee complaints, invoice verification and service performance monitoring.
Lead and guide HR & Administration assistants in daily operations, monitor attendance, 5S, PPE and safety compliance.
Ensure compliance with company policies, labour requirements, RBA and QMS requirements, and support internal, customer and third-party audits.
Any ad-hoc task assigned.
About you
Degree in Human Resources, Business Administration or a related field, with a minimum of 5 years of relevant working experience, preferably in Manufacturing environments.
Proficient in Microsoft Office applications, particularly Microsoft Excel and Word.
Good knowledge of Malaysian employment laws, regulations and HR practices.
Strong interpersonal skills with the ability to build effective working relationships with employees and stakeholders at all levels.
High level of integrity, accountability and confidentiality in handling employee and company information.
Strong analytical, problem-solving and decision-making skills, with excellent attention to detail.
Good verbal and written communication skills.
Able to work independently, prioritize multiple tasks and meet deadlines.
