Position Summary
The Finance & Accounts Manager is responsible for ensuring the accuracy, completeness and integrity of the Group’s financial records. The role oversees full-set accounts, financial planning, budgeting, cash-flow management, tax coordination, audit preparation and internal financial controls across all branches and related companies.
The successful candidate must be able to translate financial data into clear management reports and practical recommendations that support the Group’s profitability, operational efficiency and long-term growth.
Key Responsibilities
1. Full-Set Accounts and Financial Accuracy
- Manage and review the full set of accounts, including general ledger, accounts payable, accounts receivable and bank reconciliations.
- Ensure all sales, collections, expenses, supplier invoices, payroll entries and intercompany transactions are accurately recorded.
- Review daily and monthly revenue reconciliation across clinic branches, payment terminals, bank transfers, cash collections and online payment platforms.
- Ensure all accounting entries are supported by proper invoices, receipts, approvals and documentation.
- Maintain an accurate and organised chart of accounts.
- Identify and correct accounting errors, missing documents, duplicate payments and unusual transactions.
- Ensure timely month-end and year-end closing.
2. Financial Planning and Analysis
- Prepare the Group’s annual budget and financial forecasts.
- Develop monthly cash-flow projections and monitor working-capital requirements.
- Prepare branch-level and consolidated profit-and-loss reports.
- Compare actual performance against budget, targets and previous periods.
- Analyse revenue, expenses, gross profit, operating profit and net profit.
- Review treatment costs, product costs, doctor commissions, staff costs, marketing expenses and branch overheads.
- Assess the profitability of branches, treatments, packages, promotions and business projects.
- Provide financial recommendations to management to improve profitability, cash flow and cost control.
- Support management in evaluating new branches, equipment purchases, investments and expansion plans.
3. Management Reporting
- Prepare accurate monthly management accounts within the agreed reporting deadline.
- Present financial performance in a clear and understandable format to the Managing Director.
- Produce financial dashboards and reports covering:
- Revenue by branch
- Revenue against target
- Gross and net profit
- Operating expenses
- Cash-flow position
- Accounts receivable and payable
- Outstanding collections
- Marketing expenditure and return
- Payroll and commission costs
- Budget variances
- Branch profitability
- Highlight financial risks, irregularities and areas requiring management attention.
- Provide recommendations and follow up on agreed corrective actions.
4. Tax and Statutory Compliance
- Coordinate with the appointed tax agent on corporate tax computation, estimates, instalments and submissions.
- Prepare accurate schedules and supporting documents required for tax filing.
- Monitor relevant tax deadlines and ensure timely submission and payment.
- Assist with SST, withholding tax, payroll-related tax and other applicable statutory matters.
- Review transactions for proper tax treatment and documentation.
- Maintain organised tax records and supporting documents for the required retention period.
- Respond to tax queries and assist with tax audits or investigations together with the appointed tax agent.
- Keep management informed of relevant tax changes that may affect the Group.
5. Audit Preparation and Coordination
- Act as the main internal contact for the external auditor.
- Prepare audit schedules, reconciliations, confirmations and supporting documents.
- Ensure accounting records are complete and audit-ready before the financial year-end.
- Respond promptly and accurately to audit queries.
- Coordinate with relevant departments to obtain missing information or documents.
- Review audit findings and recommend corrective actions.
- Follow up on audit adjustments and improvements to internal financial controls.
- Ensure audited financial statements are completed within the required timeline.
6. Internal Controls and Risk Management
- Establish and enforce financial policies, approval limits and payment procedures.
- Ensure proper segregation of duties for collection, recording, approval and payment functions.
- Monitor cash handling, refunds, discounts, complimentary treatments, package utilisation and stock-related financial adjustments.
- Review supplier payments and ensure payments are properly approved.
- Conduct periodic checks on branch collections, petty cash and supporting records.
- Identify possible financial leakage, fraud, unauthorised spending or control weaknesses.
- Recommend improvements to reduce financial and operational risks.
- Ensure confidential financial and payroll information is properly protected.
7. Accounts Team Management
- Supervise and guide Account Executives and Account Assistants.
- Assign responsibilities and monitor daily, weekly and monthly deliverables.
- Review the accuracy and completeness of work completed by the accounts team.
- Provide training and establish clear accounting procedures.
- Set performance standards and conduct regular performance reviews.
- Work closely with HR, Operations, Marketing, Purchasing and Branch Managers to obtain accurate financial information.
Qualification and Experience Requirements
- Bachelor’s degree in Accounting, Finance or a related discipline.
- Professional accounting qualification such as ACCA, CPA, CIMA, ICAEW or equivalent is an advantage.
- Minimum 4–6 years of relevant accounting and finance experience.
- At least 2 years of experience in a supervisory or managerial position is preferred.
- Strong experience in full-set accounts, budgeting, financial reporting, taxation and audit preparation.
- Good understanding of Malaysian accounting, tax and statutory requirements.
- Experience in a multi-branch healthcare, aesthetic, medical, retail or service business is an advantage.
- Proficient in Microsoft Excel and recognised accounting software.
- Experience with cloud accounting, dashboards or accounting-system implementation is an advantage.
- Good command of English and Bahasa Malaysia. Mandarin proficiency is an advantage.

Important Scope Clarification
The Finance & Accounts Manager is responsible for preparing accurate accounts, tax schedules and audit documentation. Corporate tax submissions should be reviewed or handled with the Company’s appointed tax agent, while the statutory audit must be performed independently by the Company’s appointed external auditor.
Authority and Accountability
The Finance & Accounts Manager is authorised to:
- Request financial documents and explanations from all departments and branches.
- Reject or hold incomplete payment requests pending proper documentation or approval.
- Report unexplained discrepancies or suspected irregularities directly to management.
- Recommend improvements to financial systems, policies and controls.
The Finance & Accounts Manager must not approve their own claims, payments or accounting adjustments without independent authorisation.
Pay: RM2,500.00 - RM4,500.00 per month
