Job Summary
The HR Generalist Assistant supports recruitment and daily HR operations for the retail business, with a main focus on candidate coordination and onboarding, as well as employee support, HR activities and basic payroll input assistance.
Key Responsibilities
Recruitment & Onboarding
- Post job vacancies on approved recruitment platforms and other hiring channels.
- Source and screen candidates based on job requirements.
- Contact shortlisted candidates and conduct basic pre-screening.
- Coordinate interviews between candidates and hiring managers.
- Follow up on interview feedback, job offers, candidate documents and joining dates.
- Assist with onboarding and orientation arrangements for new employees.
- Maintain accurate recruitment records and update candidate progress.
- Support bulk hiring, walk-in interviews, career fairs and campaign recruitment.
- Prepare simple weekly recruitment and manpower updates.
HR Operations & Payroll Support
- Assist with attendance, leave and employee information updates.
- Collect and check payroll-related information and supporting documents.
- Submit completed information to the payroll person-in-charge.
- Maintain HR trackers and prepare simple reports when required.
- This position assists with payroll inputs only and is not responsible for payroll processing or approval.
Employee Engagement & Support
- Assist with staff activities, training and company events.
- Respond to routine employee and candidate enquiries.
- Refer sensitive or unclear matters to the supervisor.
- Maintain professional communication and confidentiality.
Job Requirements
Qualifications
- Diploma or bachelor’s degree in Human Resource Management, Business Administration, Business Management, Psychology or a related field.
- Fresh graduates who are interested in starting a career in HR are encouraged to apply.
- Previous internship or working experience in recruitment and HR administration coordination is an advantage.
- Experience supporting retail or high-volume recruitment is an added advantage.
Skills & Knowledge
- Basic understanding of HR functions and recruitment processes.
- Comfortable using Microsoft Office or Google Workspace
- Familiarity with job portals, social media recruitment, HR systems or attendance systems is an advantage.
- Able to manage recruitment trackers and prepare simple reports.
- Good verbal and written communication skills in Bahasa Malaysia and English.
