Job Description

Responsibilities

Position Overview

We are seeking an organized, proactive, and versatile Admin & HR Executive to oversee daily office operations, manage human resources functions, and lead employee performance tracking. The ideal candidate will serve as the primary bridge between management and employees, ensuring smooth office administration, maintaining HR compliance, and systematically driving staff performance through KPI management.

Key Responsibilities

1.⁠ ⁠Human Resources & Staff Performance Management

  • Recruitment & Onboarding: Draft job ads, screen candidate resumes, schedule interviews, prepare employment offer letters, and conduct orientation for new hires.
  • Employee Records: Maintain up-to-date physical and digital employee files, tracking personnel details, performance history, contracts, and status changes.
  • Leave & Attendance: Monitor daily staff attendance, track leave applications (annual, medical, emergency), and manage leave balances.
  • Payroll & Statutory Compliance: Assist with monthly payroll computation (incorporating KPI bonuses or performance adjustments), OT calculations, and ensure timely submissions for EPF, SOCSO, EIS, and PCB (LHDN).
  • Employee Relations: Act as a main point of contact for staff inquiries regarding performance feedback, policies, and workplace guidelines; assist in organizing performance improvement plans (PIPs) when required.
  • Offboarding: Facilitate exit clearances, calculate final salary/settlements, and conduct exit interviews.
  • KPI Calculation & Performance Tracking: Assist management in establishing clear, quantifiable Key Performance Indicators (KPIs) for each role; track, collect data, and calculate monthly/quarterly KPI scores across all departments.
  • Performance Review Coordination: Facilitate the end-to-end performance appraisal process, organize evaluation cycles, prepare scoring templates, and support managers with appraisal documentation.

2.⁠ ⁠Office Administration & Operations

  • Office & Facility Management: Oversee general office maintenance, cleanliness, utility services, and manage office supplies, pantry inventory, and stationery stocks.
  • Vendor & Contractor Management: Liaise with external vendors, property management, equipment suppliers, IT support, and maintenance personnel to ensure smooth workplace operations.
  • Documentation & Filing: Prepare, edit, and organize corporate correspondence, memos, notices, standard operating procedures (SOPs), and administrative forms.
  • Asset Management: Track company assets (laptops, uniforms, tools, safety equipment) issued to staff and maintain asset assignment logs.
  • Event & Travel Coordination: Assist in booking transport, travel accommodation, and venue reservations for business trips or corporate events.

Qualifications & Requirements

  • Education: Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, Secretarial Studies, or a related discipline.
  • Experience: 2 to 4 years of proven hands-on experience in a dual Admin & HR role with direct exposure to performance tracking or KPI management.
  • Employment Law Knowledge: Solid understanding of the Malaysian Employment Act, labor regulations, and local statutory submission processes (EPF, SOCSO, EIS).
  • Technical & Software Skills: Advanced proficiency in Microsoft Excel (data calculation, formulas, and reporting templates), Word, PowerPoint, or Google Workspace; experience using HRMS software is an added advantage.
  • Communication: Excellent written and verbal communication skills in English and Bahasa Malaysia.
  • Soft Skills: Analytical mindset for performance tracking, high level of integrity/discretion with confidential appraisal data, strong organizational skills and clear interpersonal communication.

Key Performance Indicators (KPIs)

  • KPI & Appraisal Timeliness: 100% on-time collection, calculation, and distribution of staff KPI scores and appraisal reports according to schedule.
  • Accuracy in Payroll & Submissions: Zero error rate in monthly payroll calculations (including performance/KPI payout adjustments) and 100% on-time statutory contribution payments.
  • Onboarding & Performance Integration: Timely completion of candidate screening, onboarding documentation, and setting initial KPI targets for new hires within specified timelines.
  • Office Upkeep & Vendor Oversight: Minimal downtime for office utilities, supplies, or facilities due to proactive inventory management.

Pay: RM2,200.00 - RM2,800.00 per month
