Job Description

Responsibilities

The HR Generalist is the day-to-day engine of HR hygiene, employee support, and process execution across SOLS Group. This role exists to make sure the fundamentals of HR — accurate records, timely recruitment support, fair and consistent policy application, and responsive employee relations — are handled with discipline every single day, so leaders can trust the people function and employees experience HR as structured, fair, and present.


Responsibilities

1. HR Hygiene & Records Management

  • Maintain accurate, up-to-date employee records, personal files, and HR databases/trackers across all brands supported.
  • Monitor attendance, punctuality, and leave data to flag hygiene issues early, before they become disciplinary matters.
  • Support payroll input validation each month, checking attendance, leave, and claims data for accuracy before submission.
  • Ensure statutory documentation (EPF, SOCSO, EIS, income tax) is complete, current, and properly filed for every employee.

2. Recruitment & Onboarding Support

  • Coordinate job postings, screening, interview scheduling, and candidate communication in line with approved headcount plans.
  • Prepare offer letters, employment contracts, and new-hire documentation accurately and on time.
  • Run structured onboarding for new joiners so they understand company policies, expectations, and their role from day one.
  • Track probation timelines and confirmation paperwork, flagging upcoming confirmations to managers ahead of time.

3. Employee Relations & Manager Support

  • Act as a first point of contact for employees on HR policy questions, benefits, and general people matters.
  • Support managers with practical, policy-compliant guidance on attendance, performance, and conduct issues.
  • Assist in documenting and progressing standard disciplinary actions (warnings, PIPs) within the approved policy framework.
  • Escalate high-risk cases (terminations, non-confirmations, precedent-setting exceptions) to the HR Manager/Team Lead promptly.

4. Employment Lifecycle & Compliance

  • Manage the administrative lifecycle of employment: confirmations, contract extensions, transfers, and exits.
  • Conduct exit interviews and process offboarding checklists, ensuring clean, respectful, and fully documented exits.
  • Apply labour law and statutory compliance requirements consistently across all HR processes and documentation.
  • Keep HR policies and SOPs current, flagging outdated or unclear policy areas to the HR Manager/Team Lead.

5. Performance Management Coordination

  • Track performance review cycles, PDS submissions, and confirmation timelines, following up with managers to prevent backlogs.
  • Consolidate performance data and prepare clear summaries to support performance discussions and decisions.
  • Support the rollout of career progression and growth plan conversations in line with SOLS' capability-based framework.

6. Employee Experience & Engagement

  • Support the planning and execution of employee engagement initiatives that reflect SOLS' people-first culture.
  • Gather informal feedback on employee sentiment and flag emerging concerns to the HR Manager/Team Lead.
  • Contribute to a workplace where team members feel seen, supported, and clear on what's expected of them.

7. Reporting & Continuous Improvement

  • Maintain HR trackers and dashboards, providing timely updates for management reporting.
  • Identify recurring process gaps or inefficiencies and propose practical fixes to HR SOPs and workflows.
  • Support ad-hoc HR projects and initiatives as directed by the HR Manager/Team Lead.



Qualifications

Essential

  • Bachelor's degree in Human Resource Management, Business Administration, or a related field.
  • At least 2–4 years of experience in a generalist or HR operations role, ideally covering recruitment, employee relations, and HR administration.
  • Working knowledge of Malaysian labour law and statutory requirements (EPF, SOCSO, EIS, Employment Act).
  • Strong attention to detail and comfort working with records, data, and trackers accurately and consistently.
  • Clear, professional communication skills, with the ability to have direct conversations on sensitive people matters.
  • High discretion and integrity in handling confidential employee information.

Preferred

  • Experience supporting HR across multiple brands, business units, or fast-scaling organisations.
  • Familiarity with payroll systems and HR information systems (HRIS).
  • Exposure to performance management frameworks and structured onboarding programmes.
  • Prior experience in a social enterprise, renewable energy, or mission-driven organisation.
