We are seeking a detail-oriented and organised HR Records Digitisation Assistant to support the HR department's digital transformation initiative. The incumbent will be responsible for digitising employee records through scanning, indexing, renaming, and uploading documents into the designated HR system, ensuring accuracy, completeness, and confidentiality of HR information.
Responsibilities
- Scan physical employee files and HR documents into digital formats
- Review scanned documents to ensure image quality, completeness, and readability
- Rename and index digital files according to established document naming conventions
- Organise and upload documents into the designated document management system or shared drive
- Ensure employee records are filed accurately and consistently
- Perform basic data entry and document verification where required
- Assist in identifying missing, duplicate, or incorrectly filed records
- Maintain strict confidentiality when handling employee information and sensitive HR documents
- Prepare physical records for disposal in accordance with company record retention and data protection policies
- Shred and securely dispose of physical documents after successful digitisation and verification, ensuring compliance with confidentiality and records management requirements
- Provide administrative support for the HR digitalisation project as required
Requirements
- Proficient in Microsoft Office applications, particularly Excel and Outlook
- Comfortable using scanners, document management systems, and digital filing platforms
- Strong attention to detail and ability to handle large volumes of documents accurately
- Able to work independently and manage repetitive administrative tasks efficiently
- Strong organisational and time management skills
- Prior administrative, records management, or document digitisation experience will be an advantage.
This is a 3 months contract with the possibility of extension.
