Responsibilities
Job Summary:
The Administration Executive will manage the office administration and ensure smooth operations of the office.
Duties & Responsibilities:
1. Provide general office and administrative support, including a clean and tidy office
2. Responsible for all office systems, equipment, supplies and stationeries, including procurement, maintenance, repairs and stock level
3. Seek quotations, raise purchase requisitions / orders and obtain necessary approvals for all office-related procurements in compliance with corporate policies
4. Manage petty cash float and prepare monthly reimbursement requests for submission to Finance or as required
5. Monitor expenditures, budgets and fundings to ensure prudent and optimal usage
6. Collate, maintain and submit records and documentation pertaining to clients’ register, home visit, info and referral and other services timely to relevant authorities and funding agencies.
7. Perform basic IT support and review security CCTV recordings as required
8. Orientate new staff to the office layout, administrative practices and policies
9. Participate in volunteer matching exercise
10. Plan and organize volunteer appreciation programmes / events
11. Perform other duties assigned by the reporting officer
Job Requirements
Diploma / Degree in any discipline;
2 - 3 years of relevant experience;
Have a passion to work with seniors and people-oriented; team-oriented with excellent interpersonal and communication skills
Good office administration & IT skills
Meticulous and able to prioritize tasks and work independently;
Knowledge of basic accounting is required
