Acclime Hiring! Full Time Legal Operations Associate in Federal Territory - Ricebowl

Acclime, a leading corporate and professional services firm with operations across Asia Pacific, is seeking an operation associate to join its Group Legal team and play a key role in supporting the corporate exercises of the Group as well as the governance and administration of its regional corporate structure. This role will be based in Kuala Lumpur, Malaysia. This is an in-house operation role supporting the Acclime Group's Legal team. The role is not client-facing and does not involve the provision of company secretarial services to external clients.

Key Responsibilities:

• Provide ancillary support to the in-house legal team in M&A, financing and corporate exercises e.g. coordinate meetings, preparing documents, coordinating execution, legalisation of documents.
• Entity management by maintaining the Group’s central database of Group entity corporate information in a timely manner.
• Maintain the Group's centralised operating licences repository, and monitor the renewals of the Group’s licences, permits, registrations, and regulatory approvals.
• Act as primary point of contract for all corporate secretarial matters of the Group’s entities, this will be supported by local company secretarial teams.
• Coordinate with local company secretarial teams to ensure corporate records, statutory information, and governance documentation are timely prepared, filed and completed.
• Manage and maintain corporate ownership records, including information relating to upstream entities, beneficial owners, ultimate beneficial owners (UBOs), and Know-Your-Customer (KYC) documentation of the Group entities, and coordinate KYC requests from various business units and stakeholders
• Support legal entity rationalisation initiatives, including the closure, liquidation, deregistration, or strike-off of dormant and non-operational Group entities, and change of directors, in collaboration with local company secretarial teams and external service providers.
• Assist with post-acquisition integration and corporate onboarding activities, including onboarding newly acquired entities into the Group’s central repository, preparation of corporate approvals, updating authorised signatories, and other integration-related corporate actions.
• Prepare, review, coordinate, and maintain corporate documentation, including resolutions, powers of attorney, corporate approvals, governance documents, and transaction-related documentation in connection with M&A, financing, restructuring, and other strategic projects.
• Manage and protect the Group's intellectual property portfolio, including trademarks, domain names, copyrights, registrations, renewals, brand protection matters, and engagement with external intellectual property advisors where required.

Key Requirements:

• Bachelor's degree in Law (LL.B.) preferred but not mandatory. Candidates with legal training or studies in law, corporate governance, company secretarial practice, or a related discipline will also be considered.
• At least 3 to 5 years of relevant experience supporting legal, corporate secretarial, corporate governance, or transactional matters, preferably within a law firm, professional services firm, in-house legal team, or multinational organization.
• Ability to work closely with lawyers, business teams, external counsel, and corporate secretarial providers across multiple jurisdictions.
• Excellent written and verbal communication skills in English and Mandarin.
• Able to adapt and perform in a demanding, fast-paced environment while meeting deadlines
• A team player who can also work independently with minimal supervision
• Highly organized, detail-oriented, and capable of handling substantial administrative and operational support for a busy legal team.
• A willingness to do and learn new skills outside company secretarial work will be regarded favorably.
