The Opportunity:
We are seeking an Executive Administrative Partner to support senior leadership within a multinational organisation, providing a combination of executive support, operational coordination and strategic follow-through.
This is a high-trust role suited to an experienced professional who can anticipate priorities, manage sensitive information and ensure key decisions and commitments are translated into effective action. You will work closely with senior stakeholders across the organisation, bringing structure, clarity and discipline to a fast-paced executive environment.
The Job:
- Manage senior leadership calendars, schedules, travel arrangements and day-to-day priorities.
- Coordinate senior-level meetings, including preparation of agendas and materials, meeting support, minutes and action tracking.
- Consolidate and synthesise information from multiple stakeholders, highlighting key priorities, issues, decisions and potential risks.
- Monitor key actions and commitments, proactively identifying delays and driving timely follow-through.
- Review and quality-check reports, presentations and strategic submissions before escalation to senior leadership.
- Support leadership and Board-level meeting preparation, including agenda coordination, materials review and follow-up on key decisions.
- Prepare concise summaries, updates and action reminders to support effective decision-making.
- Coordinate across business functions and regions to facilitate communication, alignment and execution.
- Identify opportunities to improve executive office processes, meeting effectiveness and administrative standards.
- Manage international travel, expenses, visas, immigration documentation and related requirements.
- Support relevant compliance, registration and administrative matters as required.
- Handle confidential corporate and personal information with a high degree of discretion.
- Undertake other duties and projects as required.
Requirements
- Bachelor's degree or above with more than 6 years of relevant experience in executive support, executive office operations, management consulting, corporate strategy or a similar environment.
- Experience supporting C-suite or senior executives within a multinational or complex organisation is highly preferred.
- Strong experience in meeting management, minutes-taking, information synthesis and action tracking.
- Excellent written and spoken English, with strong business communication skills.
- Highly organised, detail-oriented and able to manage multiple priorities in a fast-paced environment.
- Strong judgement, proactive problem-solving skills and confidence engaging with senior stakeholders.
- Demonstrated ability to anticipate needs, manage upwards and drive follow-through with minimal supervision.
- High level of discretion, confidentiality, professionalism and emotional intelligence.
- Proficient in Microsoft Office, particularly Outlook, PowerPoint, Excel and Word.
- Experience working across regions and cultures will be an advantage.
- Willingness to travel approximately 30-40% of the time.
