Job Summary

We are looking for an experienced and proactive Project Executive with 5–6 years of experience to support and coordinate the successful delivery of IT projects. The candidate will work closely with the Project Manager, technical teams, business users, vendors, and other stakeholders to ensure project activities are executed according to the agreed timeline, scope, and quality requirements.

The ideal candidate should have strong coordination, documentation, communication, and problem-solving skills, with the ability to manage multiple project activities and follow up effectively with stakeholders.

Key Responsibilities

• Support the Project Manager in planning, coordinating, and monitoring IT projects from initiation through completion.
• Coordinate day-to-day project activities and ensure tasks are completed according to the project schedule.
• Prepare and maintain project documentation, including project plans, schedules, meeting minutes, progress reports, action items, and project status updates.
• Coordinate meetings with project stakeholders and follow up on outstanding action items and deliverables.
• Track project milestones, deliverables, dependencies, risks, and issues.
• Work closely with technical teams, business users, vendors, and third-party service providers to ensure smooth project execution.
• Monitor project progress and highlight delays, risks, and issues to the Project Manager.
• Assist in managing project scope, change requests, resource requirements, and dependencies.
• Coordinate activities related to system development, implementation, integration, testing, deployment, migration, and go-live where applicable.
• Assist in coordinating SIT, UAT, deployment, and post-implementation activities.
• Follow up with vendors and internal teams to ensure project deliverables are completed on time.
• Prepare presentations and project status reports for management and stakeholders.
• Maintain proper project records and ensure documentation is updated throughout the project lifecycle.
• Assist with project budget tracking, procurement activities, and resource coordination where required.
• Support project governance and ensure project activities follow established processes, policies, and standards.
• Identify opportunities for process improvement and contribute to lessons-learned activities.
• Perform other project-related duties as assigned by the Project Manager or management.

Requirements

• Bachelor’s Degree in Information Technology, Computer Science, Software Engineering, Business Administration, Project Management, or a related field.
• 5–6 years of relevant experience in project coordination, project management, IT project delivery, or a similar role.
• Experience working in IT/software development, system implementation, infrastructure, or digital transformation projects.
• Good understanding of SDLC and IT project lifecycle.
• Familiarity with Agile, Waterfall, or hybrid project management methodologies.
• Strong experience in project coordination, documentation, reporting, and stakeholder follow-up.
• Good knowledge of Microsoft Office, particularly Excel, PowerPoint, Word, and MS Project.
• Strong communication and interpersonal skills.
• Good organizational and time-management skills.
• Ability to manage multiple tasks, priorities, and deadlines.
• Strong problem-solving and follow-up skills.
• Able to work effectively with technical and non-technical stakeholders.
• Must be willing to work onsite near SOGO Mall, Kuala Lumpur.
