Key Responsibilities:
1. INSURANCE CASE MANAGEMENT
- Manage and monitor all insurance cases, currently 700+ cases, ensuring complete and accurate records are maintained.
- Review and verify case information between Google Sheets and CRM, identify discrepancies and ensure no completed case is missed from invoicing.
- Case Status: Completed → Pending Documentation → Ready for Invoice → Invoiced → Submitted → Rejected → Resubmitted → Paid / Outstanding.
2. DOCUMENTATION & CASE CHECKING
- Act as the second-level checker after the Customer Service team and Technician Rider.
- Verify Case ID, customer information, vehicle registration number, date/time, location, service type, Technician Rider details, job completion status, supporting documents, proof of service, required photos and invoice information.
- Follow up with the relevant party for any missing, incomplete or incorrect information before insurance submission.
3. INVOICE MANAGEMENT
- Review completed cases ready for invoicing and verify service rates according to the insurance partner agreement.
- Prepare/generate invoices through the CRM and ensure invoice numbers, case references, invoice amounts, calculations and service types are accurate.
- Conduct a final review before submission and prevent duplicate, missing or incorrect invoices.
4. TALLYING & RECONCILIATION
- Ensure all completed cases are properly accounted for throughout the process: Completed Cases = Invoices Created = Invoices Submitted = Invoices Paid Identify, investigate, follow up and resolve any discrepancies.
- Maintain an updated reconciliation record so all completed cases are properly accounted for.
5. PAYMENT FOLLOW-UP
- Monitor submitted invoices, payment due dates and outstanding balances.
- Maintain the outstanding payment tracker, follow up with insurance partners on outstanding and overdue invoices, record payment follow-ups and update payment status once payment is received.
- Report outstanding payments to Management and escalate significantly overdue payments when required.
6. COORDINATION WITH CUSTOMER SERVICE
- Work closely with the Insurance Customer Service Agents from service request through payment reconciliation.
- Customer Service Workflow: Receive Request → Dispatch → Assign Rider → Follow Up → Complete Job Insurance Operations & Admin Workflow: Check → Invoice → Submit → Tally → Follow Up → Payment → Reconciliation
7. GOOGLE SHEETS & CRM MANAGEMENT
- Ensure information between Google Sheets and CRM is accurate, complete and consistent.
- Investigate and correct discrepancies before invoicing or submission and ensure all case records and statuses are updated accurately and on time.
8. BUSINESS DEVELOPMENT & CORPORATE PROGRAM SUPPORT
- Support the BD Department when required.
- Assist the BD team in meetings with insurance partners to understand the overall process flow and partnership requirements from onboarding through full operational and payment processes.
- Gain exposure to the insurance partnership process, including onboarding, case operations, invoicing, submission, payment and reconciliation.
- Prepare and provide monthly sales figures for the BateriHub Corporate Program (BCP) before the monthly Management Meeting, ensuring the figures and reports are accurate and submitted on time.
- Provide additional support to BD for insurance-related partnerships and projects when required.
9. KEY PERFORMANCE EXPECTATION
- Every completed insurance case must be properly accounted for from service completion until payment, with minimal errors and no missed invoices.
- Overall Objective: Completed Cases → Verified → Invoiced → Submitted → Paid → Reconciled

Pay: RM1,900.00 - RM2,200.00 per month
