Role Description The Assistant Secretary role at Insight Genesis – IGAi is a full-time remote position supporting the executive team and overall organizational operations. Day-to-day responsibilities include scheduling and coordinating meetings, preparing and distributing agendas and minutes, maintaining digital records, and organizing documentation for internal and external stakeholders. The Assistant Secretary will handle correspondence, assist with drafting and editing formal communications, and support compliance with internal governance procedures. This role also involves coordinating cross-functional communication, tracking action items, and helping ensure that key decisions and policies are documented and accessible. The ideal candidate is detail-oriented, comfortable working in a tech-driven environment, and able to manage multiple priorities independently.

  • Strong administrative and organizational skills, including calendar management, document filing, and meeting coordination.
  • Excellent written and verbal communication skills, with the ability to draft clear emails, reports, and meeting minutes.
  • Proficiency with digital tools and platforms (e.g., office productivity suites, cloud storage, online meeting software).
  • Attention to detail and accuracy in record keeping, document formatting, and information management.
  • Ability to work independently in a remote setting, manage time effectively, and handle confidential information with discretion.
  • Experience supporting leadership or executive teams, preferably in a technology, AI, or data-focused organization.
  • Understanding of basic governance or corporate procedures is an advantage.
  • Associate or bachelor’s degree in Business Administration, Office Management, Communications, or a related field, or equivalent practical experience.
