Job Purpose
We are looking for an experienced HR & Admin Assistant Manager to support and supervise the day-to-day Human Resources and administrative functions of our growing catering business serving multinational corporations.
The role supports Management in strengthening HR systems, implementing effective HR policies and processes, and fostering a positive and accountable workplace culture.
Key Responsibilities
- Lead HR team in managing the full spectrum of human resources and administrative functions.
- Manage recruitment, manpower planning, onboarding, confirmation, transfer and employee exit processes.
- Manage monthly payroll, including attendance, leave, absenteeism, overtime and payroll exceptions.
- Co-develop, review and implement HR policies, SOPs, procedures and guidelines.
- Handle employee and industrial relations matters, including grievances, disciplinary documentation and employee communications.
- Manage employment pass and work permit applications and renewals for expatriates and foreign workers.
- Review compensation and benefits practices and provide recommendations to Management.
- Track and analyse HR metrics, including headcount, vacancies, turnover, absenteeism and recruitment progress.
- Liaise with government departments, statutory bodies and external service providers.
- Coordinate employee training, development and engagement activities with Management and the Learning & Development function.
- Prepare HR reports, employment letters, internal announcements and other HR documentation.
- Oversee general office administration and maintain proper records relating to Company assets.
- Perform other duties and ad hoc assignments as required by Management.
Requirements
- Bachelor’s degree or professional qualification in Human Resource Management, Business Administration or a related discipline.
- At least five years of relevant HR and administrative experience, preferably in a supervisory or Assistant Manager role.
- Proficiency in English, Mandarin and Bahasa Malaysia, both spoken and written, to communicate with our diverse workforce and relevant stakeholders.
- Sound knowledge of Malaysian employment legislation, statutory requirements and government procedures.
- Practical experience in payroll, attendance management, employee relations, and expatriate employment pass and foreign-worker permit matters.
- Strong organisational, analytical and communication skills, with the ability to manage confidential matters professionally.
- Able to work effectively under pressure, manage competing priorities and meet tight deadlines.
- Exposure to ISO standards and immediate availability are added advantages.
