This role supports the Education Development Office (Medicine) by assisting and coordinating in posting and evaluation, faculty activities, orientation of junior doctors on the residency programs, program planning and scheduling, examinations and teaching activities.
The role assists the Assistant Designated Institutional Officer, Program Director, Assistant Program Director and Faculty to support the operations of the office to provide the best learning environment and quality clinical education for residency training for junior doctors in KTPH.
MAJORDUTIES AND RESPONSIBILITIES
(A) SPECIFIC
Assist the supervisor by providing the support for clinical training programs in the Education Development Office. This involves:
1. Junior Doctor / trainee administration:
a. Provide administrative support on trainees’ rotation to the hospital, on-the job training, assessment and evaluation and any other training needs of residents / house officers (HOs).
b. Support in clinical training matters such as orientation, collation of assessment forms, tracking training hours and Faculty appointments.
c. Ensure all necessary evaluations take place & submit in a timely manner
d. Provide secretariat support for meetings with program stakeholders
e. Assume the role as the point of contact for trainee doctors and Faculty
f. Coordinate department and hospital wide faculty development activities and other training courses for the department
g. Develop and maintain a filing system for the department for reporting and audit purposes
h. Engage with process improvements to ensure smooth operations of EDO in KTPH.
2. Program Accreditation and Management
a. Monitor and track resident training.
b. Ensure timely submission of management reports and KPIs to Director and NHG GME for forward submission, e.g. to MOH and relevant professional bodies.
3. Assist with administration and arrangement of the various examinations where assigned.
4. Coordinate hospital events such as CPC, visits, briefings and tutorials pertaining to medicine programs.
5. Provide and plan secretariat support for :
a) KTPH EDO Department meeting
b) KTPH EDO Admin Meeting
(B) GENERAL
The person will also be required to support the supervisor in the following:
Events management e.g workshops, talks in EDO
Education Technology and e-learning, where needed.
The person should also be involved with hospital events and activities, and otherduties and projects may also be assigned by the supervisor from time to time.
JOBREQUIREMENTS
(A) EDUCATION,TRAINING AND EXPERIENCE
Diploma holder with at least 2 years of relevant work experience
Healthcare background would be an advantage
