Job Description

Responsibilities

We are looking for a responsible, detail-oriented, and hands-on Warehouse Operations Executive to join our growing FMCG operations team.

The successful candidate will be responsible for managing day-to-day warehouse activities, inventory accuracy, inbound and outbound operations, production material support, order fulfilment, inventory reporting, and warehouse process improvement.

This role requires someone who is organised, proactive, comfortable working in a fast-paced environment, and able to coordinate effectively with multiple departments.

Job Responsibilities

1. Inventory Management

  • Monitor and maintain inventory levels for raw materials, packaging materials, finished goods, and warehouse consumables.
  • Conduct regular stock takes, cycle counts, and inventory audits to ensure inventory accuracy.
  • Maintain accurate records of SKUs, batch numbers, manufacturing dates, expiry dates, and stock movements.
  • Investigate and reconcile inventory discrepancies promptly.
  • Monitor stock ageing, shrinkage, and inventory variances.

2. Inbound & Warehouse Operations

  • Coordinate and oversee the receiving, inspection, unloading, and storage of incoming goods.
  • Verify incoming goods against Purchase Orders (POs), Delivery Orders (DOs), and supporting documents.
  • Ensure products are stored safely and systematically according to company SOPs and warehouse standards.
  • Implement and maintain FIFO (First In, First Out) and FEFO (First Expiry, First Out) practices.
  • Maintain warehouse cleanliness, housekeeping, organisation, and efficient space utilisation.

3. Production Support

  • Issue raw materials and packaging materials accurately according to approved production schedules.
  • Ensure timely replenishment of production materials to prevent manufacturing interruptions.
  • Coordinate closely with the Production team regarding material availability and inventory status.
  • Record all inventory transactions related to production accurately and promptly.

4. Order Fulfilment & Distribution

  • Coordinate picking, packing, labelling, and dispatch of finished products according to customer orders.
  • Prepare delivery documentation and coordinate with logistics partners to ensure timely deliveries.
  • Ensure outgoing products meet required quality, labelling, and packaging standards before dispatch.
  • Investigate and resolve issues involving damaged products, delivery discrepancies, and returned goods.

5. Inventory Reporting & Process Improvement

  • Prepare daily, weekly, and monthly inventory reports.
  • Monitor stock balances, stock movements, inventory variances, stock ageing, and shrinkage.
  • Monitor warehouse KPIs including inventory accuracy, stock variance, order fulfilment accuracy, and warehouse productivity.
  • Identify opportunities to improve warehouse efficiency and reduce operational costs.
  • Support continuous improvement initiatives and warehouse process optimisation.

6. System Management & Compliance

  • Maintain accurate inventory transactions in the ERP, inventory management system, or other company systems.
  • Ensure all warehouse documentation is complete, accurate, and properly filed.
  • Follow company SOPs, inventory control procedures, and applicable food manufacturing standards.
  • Maintain complete product traceability through accurate batch number and inventory records.

7. Cross-Functional Coordination

  • Work closely with Production, Sales, Customer Service, Purchasing, Finance, and Logistics teams.
  • Coordinate inventory planning according to production schedules, promotions, and seasonal demand.
  • Liaise with suppliers, transport providers, and internal departments to ensure timely inventory movement.
  • Respond promptly to inventory and warehouse-related enquiries from internal stakeholders.

8. Events & Operational Support

  • Support inventory preparation and logistics coordination for company events, roadshows, exhibitions, and other business activities when required.
  • Assist with warehouse process improvement and system implementation projects.
  • Perform other warehouse and operational duties assigned by Management from time to time.

Requirements

  • Diploma or Bachelor's Degree in Supply Chain Management, Logistics, Warehouse Management, Operations Management, Business Administration, or a related field.
  • Previous experience in warehouse, inventory, logistics, or FMCG operations will be an advantage.
  • Strong understanding of inventory control and warehouse operations.
  • Experience with stock taking, inventory reconciliation, FIFO/FEFO, and stock movement management.
  • Comfortable working with ERP, inventory management systems, or other digital warehouse systems.
  • Proficient in Microsoft Office, particularly Microsoft Excel.
  • Strong organisational and time-management skills.
  • Detail-oriented with a high level of accuracy and accountability.
  • Good communication and coordination skills.
  • Able to work independently as well as collaboratively with different departments.
  • Willing to be hands-on and work in a fast-paced operational environment.
  • Willing to support company events, roadshows, and exhibitions when required.

Preferred Skills

  • FMCG or food manufacturing experience.
  • Experience handling batch numbers, expiry dates, and product traceability.
  • Experience with ERP or inventory management systems.
  • Knowledge of warehouse KPIs and inventory reporting.
  • Understanding of food manufacturing and warehouse compliance standards.
  • Experience coordinating with logistics providers and suppliers.

Employment Type
