Job Description

Responsibilities

The Assistant Manager – Human Resources & Principal’s Office, based at Sunway International School (Sunway City Kuala Lumpur), provides comprehensive HR and Principal's Office support, covering manpower planning, recruitment, onboarding, employee administration, and HR coordination with Sunway Education Group (SEG) HR. The role also supports the Principal in the day-to-day administration of the school, stakeholder coordination, meetings, events, and operational matters to ensure the smooth and effective running of the school.

Human Resources

  • Prepare and monitor the manpower budget and ensure recruitment activities are aligned with the approved manpower plan.

  • Ensure vacancies are filled in a timely manner by coordinating and managing the end-to-end recruitment process, including job requisitions, candidate screening and shortlisting, interviews, and reference checks.

  • Coordinate pre-onboarding and onboarding processes and events for new employees, including induction and orientation programmes, as well as airport pick-up and accommodation arrangements for new expatriate employees to ensure a smooth transition into the school.

  • Provide guidance on HR policies and procedures, address staff enquiries and concerns in consultation with SEG HR, and act as the key liaison between SIS and SEG HR on HR-related processes and communications.

  • Maintain proper HR documentation, assist with HR audits, verify staff claims, and manage and monitor staff leave records.

Principal's Office Administration

  • Provide comprehensive administrative and operational support to the Principal, including the coordination of correspondence, meetings, schedules, and action plans.

  • Serve as the key point of contact for matters requiring the Principal's attention, manage enquiries, ensure that relevant information is prioritised, communicated, and followed through, and facilitate communication between the Principal's Office and key stakeholders.

  • Provide secretariat support for committees and meetings chaired by the Principal, including the Parent Council; prepare, edit, and proofread correspondence, reports, presentations, and other documents for the Principal's Office.

  • Maintain systematic and confidential records and documentation, while exercising a high degree of discretion and sensitivity.

  • Support the coordination of school events, meetings, and activities involving the Principal's Office.

Requirements

  • A Bachelor's degree in a related field of study.

  • At least four (4) years of relevant working experience in a similar capacity, encompassing both HR and Executive Assistant responsibilities.

  • Excellent communication and interpersonal skills, with the ability to engage and communicate effectively with stakeholders at all levels.

  • Meticulous, resourceful, analytical, and able to work independently.

  • High integrity and the ability to maintain confidentiality.

  • Proficiency in Microsoft Office applications.
