JOB SUMMARY
We are seeking an experienced and detail-oriented Technical Clerk / Admin to provide administrative and documentation support to the maintenance team within an oil & gas / petrochemical plant environment.
The successful candidate will be responsible for managing and controlling technical documentation, maintenance records, reports, work order documentation, invoices, claims and payment-related documents. The role requires close coordination with Management, Finance, technical teams, engineers and contractors to ensure accurate, timely and properly controlled documentation.
KEY RESPONSIBILITIES
- Manage, organize and maintain technical documentation, maintenance records, reports and related project documents.
- Support the maintenance team in maintaining accurate records for preventive, corrective and breakdown maintenance activities.
- Assist in tracking and updating maintenance work orders and related activities using SAP ECC6 / SAP PM.
- Ensure maintenance documentation, records and submissions are complete, accurate and properly filed.
- Prepare, compile and submit technical reports, maintenance reports, supporting documents and other required documentation.
- Assist in monitoring and tracking maintenance activities, schedules, performance and reliability-related data.
- Coordinate document submissions between the maintenance team, Management, Finance, technical teams and contractors.
- Manage and process invoices, claims, payment documents and supporting documentation in accordance with Company requirements.
- Verify invoice and claim documents for completeness, accuracy, supporting records and relevant cost information.
- Assist with cost tracking and documentation related to maintenance activities and contractor services.
- Maintain proper records of invoices, claims, purchase documents, work orders and payment status.
- Utilize GEP SMART and other relevant systems for document processing, procurement/contractor-related documentation and administrative activities.
- Prepare and maintain spreadsheets, trackers and databases using Microsoft Excel.
- Prepare letters, reports, minutes, forms and other documentation using Microsoft Word.
- Prepare presentations and supporting materials using Microsoft PowerPoint, where required.
- Assist in compiling data and preparing reports for management review and meetings.
- Support the preparation and coordination of Toolbox Session documentation and records.
- Ensure documents are properly controlled, updated, retrievable and maintained in accordance with Company procedures.
- Maintain confidentiality and exercise a high level of integrity when handling Company information, costs and sensitive documents.
- Ensure all documentation complies with Company standards, safety requirements and audit expectations.
- Follow up with relevant personnel and contractors to ensure required documents are submitted within the stipulated timeframe.
- Provide general administrative and coordination support to the maintenance team.
- Perform other duties as assigned by the supervisor or management.
REQUIREMENTS
- Minimum 5 years of relevant working experience in the related industry, or as required by the Company.
- Possess a Diploma in Science, Engineering, Technology or related discipline, or Certificate from INSTEP.
- Experience in SAP ECC6 is required.
- Familiar with SAP Plant Maintenance (SAP PM) and maintenance work order processes.
- Familiar with GEP SMART.
- Proficient in Microsoft Office, including:
- MS Word
- MS Excel
- MS PowerPoint
- Experience in managing and processing invoices, claims and payment-related documentation.
- Good understanding of document control, record keeping and administrative processes.
- Familiar with maintenance documentation and workflows, preferably within an industrial plant, oil & gas, petrochemical or engineering environment.
- Familiar with Toolbox Sessions and related documentation/records.
- Efficient in report writing and computer applications.
- Strong attention to detail, particularly when dealing with costs, invoices, claims and Company-related documentation.
- Able to work under pressure and complete assigned tasks within the required timeframe.
- Able to work and coordinate effectively with Management, Finance, technical teams, engineers and contractors.
- Good communication and interpersonal skills.
- Strong organizational and time-management skills.
- High level of integrity, confidentiality and professionalism when handling sensitive Company information and documents.
- Proactive, responsible and able to work independently as well as part of a team.
MINIMUM QUALIFICATION & EXPERIENCE
- Minimum 5 years of relevant working experience in a related industry, as required by the Company.
- Diploma in Science / Engineering / Technology or equivalent qualification.
- Certificate from INSTEP will also be considered.
- Hands-on experience with SAP ECC6 / SAP PM.
- Familiarity with GEP SMART.
- Experience in technical administration, maintenance documentation, invoice processing, claims and payment documentation.
- Experience in an oil & gas / petrochemical / refinery / industrial plant maintenance environment is highly preferred.

Pay: RM2,000.00 - RM3,000.00 per month
