HR Executive – Payroll & Employee Relations


Location: KL Eco City, Kuala Lumpur
Salary: RM4,500 – RM6,500 per month, depending on experience and capability
Employment Type: Full-time

ABOUT THE ROLE

LuckyCup Coffee (Malaysia) is looking for an HR Executive – Payroll & Employee Relations with hands-on Malaysia payroll experience.

The primary focus of this role is Payroll, including monthly payroll processing, attendance and payroll reconciliation, as well as statutory contributions such as EPF, SOCSO, EIS and MTD/PCB.

The role will also support performance data consolidation and incentive calculations, employee enquiries and selected employee relations matters.

We are looking for someone who is comfortable working with numbers, pays strong attention to detail and communicates well with employees.

KEY RESPONSIBILITIES
1. Payroll & Attendance
  • Independently handle monthly payroll processing for employees in Malaysia;

  • Collect, verify and reconcile payroll inputs including attendance, overtime, leave, unpaid leave, allowances, incentives, salary adjustments, new joiners and resignations;

  • Accurately calculate basic salary, allowances, overtime payments, incentives, deductions and other payroll components;

  • Handle the calculation, submission and reconciliation of statutory contributions including EPF, SOCSO, EIS and Monthly Tax Deduction (MTD/PCB);

  • Support HRD Corp and other payroll-related statutory matters where required;

  • Prepare and review payroll reports, payslips and supporting payroll records;

  • Work with Finance on monthly salary payment data and payroll reconciliation;

  • Respond to employee enquiries relating to salary, deductions, EPF, SOCSO, EIS and MTD/PCB and investigate discrepancies where necessary;

  • Maintain accurate payroll records and ensure confidentiality of employee and payroll information.

2. Performance Data & Incentive Calculation
  • Support the collection, consolidation and reporting of monthly, quarterly and annual performance data;

  • Calculate performance incentives and bonuses based on approved performance results and Company rules;

  • Reconcile performance results with payroll data to ensure accurate incentive payments;

  • Maintain performance-related records, calculations and reports;

  • Support HRBP and business teams with performance data enquiries.

3. Employee Relations & Employee Support
  • Respond to employees' day-to-day enquiries relating to payroll, attendance, leave, performance and HR policies;

  • Support the handling of attendance issues, payroll disputes and general employee relations matters;

  • Assist HRBP with employee discussions, follow-ups and documentation where required;

  • Escalate complex or higher-risk employee relations matters to HRBP and support follow-up actions;

  • Support employee lifecycle activities including onboarding, confirmation, salary adjustments, internal movements and offboarding.

4. HR Operations Support
  • Maintain employee, payroll, attendance and performance data accurately;

  • Support the administration of employment contracts, offer letters, confirmation letters and other HR documentation;

  • Provide limited recruitment coordination and other HR operational support when required;

  • Perform other HR-related duties assigned by the HRBP team.

REQUIREMENTS
  • Diploma or Bachelor's Degree in Human Resources, Business Administration, Accounting, Finance or a related field;

  • At least 1 years of relevant HR, Payroll or C&B experience;

  • Hands-on Malaysia payroll experience and the ability to independently process monthly payroll;

  • Good understanding of the calculation and operational processes for EPF, SOCSO, EIS and MTD/PCB;

  • Experience handling attendance, overtime, allowances, incentives, unpaid leave and joiner/leaver payroll calculations;

  • Good Excel skills and confidence working with formulas and payroll data;

  • Strong numerical accuracy, attention to detail and sense of responsibility;

  • Good communication skills and the ability to handle common employee payroll and HR enquiries independently;

  • High level of integrity and confidentiality;

  • Good working proficiency in English; Mandarin communication skills would be an advantage.

ADDED ADVANTAGE
  • Experience in performance incentive or sales incentive calculations;

  • Experience using HRIS or payroll systems;

  • Familiarity with EA Form, CP8D, Form E or HRD Corp processes;

  • Previous HR experience in F&B, retail, chain businesses or fast-growing organisations.

WORKING HOURS

Monday – Friday: 9:00 AM – 6:00 PM
Lunch Break: 1.5 hours
Saturday: 9:00 AM – 12:00 PM
