Job Description

Responsibilities

This role is responsible for managing end-to-end payroll administration, HR operations and office administration activities, ensuring accurate payroll processing, statutory compliance and effective support throughout the employee lifecycle. The ideal candidate is a detail-oriented and proactive HR professional with strong payroll administration experience and a solid understanding of Malaysian employment legislation and statutory requirements.


Key Responsibilities

  • Manage and coordinate the end-to-end payroll process with the outsourced payroll provider, ensuring accurate and timely monthly payroll processing for all employees.
  • Verify payroll inputs, including new hires, resignations, salary adjustments, allowances, overtime, commissions, bonuses, leave records and other payroll-related transactions.
  • Ensure accurate calculation and timely submission of statutory contributions and deductions, including EPF, SOCSO, EIS, PCB and other regulatory requirements.
  • Perform payroll reconciliation, validate payroll reports and resolve payroll discrepancies in a timely manner.
  • Maintain payroll records, employee compensation data and related documentation while ensuring confidentiality and data accuracy.
  • Administer employee benefits and claims, including medical, insurance and other company-sponsored benefit programmes.
  • Manage payroll-related employee lifecycle transactions, including onboarding, confirmation, transfers, promotions and offboarding activities.
  • Respond to employee enquiries regarding payroll, tax, statutory contributions, leave balances and benefits administration.
  • Ensure compliance with the Malaysian Employment Act, Income Tax regulations, statutory requirements and company policies related to payroll and compensation.
  • Support year-end payroll activities, including preparation of EA forms, tax reporting and payroll audits.


Requirements

  • Diploma or Bachelor's Degree in Human Resources, Accounting, Finance, Business Administration or a related field.
  • Minimum 3-5 years of payroll administration experience, preferably handling outsourced payroll.
  • Strong knowledge of Malaysian payroll regulations, including EPF, SOCSO, EIS, PCB and Employment Act requirements.
  • Experience managing payroll systems and payroll vendor coordination.
  • Proficient in Microsoft Excel and payroll reporting.
  • High level of accuracy, attention to detail and confidentiality.
  • Strong communication and stakeholder management skills.
  • Ability to work independently and meet payroll deadlines.
