Job Description

Responsibilities

The Database & Administrative Coordinator is responsible for maintaining the accuracy and integrity of the organization's asset and property databases. This role supports day-to-day administrative operations through timely data entry, record maintenance, reporting, and document management. The incumbent will also conduct regular building walks to verify asset information, identify discrepancies, and support operational efficiency.

Database Management

  • Maintain, update, and manage asset, property, and inventory records within the company's database systems.
  • Input new asset listings and amend existing records in a timely and accurate manner.
  • Verify and validate information received from internal departments and external stakeholders before updating records.
  • Monitor database accuracy and perform regular data audits to identify and correct discrepancies.
  • Update listing statuses, asset availability, occupancy details, and other relevant information.
  • Generate periodic reports and summaries for management review.
  • Ensure proper filing and maintenance of electronic records and supporting documentation.
  • Assist in data migration, record reconciliation, and database clean-up exercises as required.

Property Operations

  • Conduct routine facility inspections and site verification checks to validate asset information, identify maintenance issues, and ensure records are accurately reflected in the database.

Administrative Support

  • Provide general administrative support to the Office Services team.

Qualifications

  • Diploma or equivalent qualification in Business Administration, Office Management, Property Management, or a related field.

Experience

  • Minimum 1-3 years of experience in an administrative, database coordination, records management, or office support role.
  • Experience in asset management, property listings, inventory management, or facilities administration will be an advantage.

Skills & Competencies

  • Proficient in Microsoft Office applications, especially Excel and Word.
  • Strong data entry and database maintenance skills.
  • Meticulous with excellent attention to detail and accuracy.
  • Good organizational and time management skills.
  • Able to work independently and manage multiple priorities.
  • Strong interpersonal and communication skills.
  • Comfortable conducting site inspections and building walks.
