Supply Chain Admin Executive
Location: Uptown 2, Damansara Utama
Working Hours: 9am - 6pm
Working Days: 5 days in a week
Salary Range: RM 3500 – RM 4500

Responsibilities

• Collect spare parts requirements, repair consumption data, and shortage information from service centers and authorized repair outlets, and prepare spare parts replenishment plans.
• Assist in forecasting spare parts demand based on repair volume, historical consumption, product installed base, failure rates, lead times, and safety stock levels.
• Submit spare parts purchasing requirements to suppliers in China and follow up on quotations, Minimum Order Quantity (MOQ), supply quantities, lead times, and shipment arrangements.
• Continuously follow up on purchase orders, spare parts production, preparation, shipment, and estimated arrival dates, and ensure that order status is updated in a timely manner.
• Communicate with suppliers in China via email or other work platforms regarding spare parts supply, quality issues, delivery delays, and other related matters.
• Arrange international shipments, customs clearance, receiving, and spare parts allocation.
• Prepare and verify invoices, packing lists, delivery orders, shipping documents, and customs clearance documents.
• Regularly monitor safety stock levels, stock shortages, excess inventory, obsolete/slow-moving inventory, and spare parts for discontinued products, and propose appropriate stock transfers, replenishment, or inventory clearance actions.
• Assist the technical team in compiling failure symptoms, inspection results, photos, videos, and other supporting evidence, and submit quality feedback or claims to suppliers in China.
• Coordinate the transfer and distribution of spare parts among the headquarters warehouse, service centers, and authorized repair outlets.
• Assist the warehouse team with monthly and annual inventory stock counts, investigate inventory discrepancies, and follow up on corrective actions.
• Assist the Finance Department in reconciling purchase orders, goods receipt records, supplier invoices, freight charges, customs duties, and claim amounts.
• Prepare regular reports on spare parts consumption, inventory levels, stock shortages, purchase order progress, slow-moving/obsolete inventory, and supplier delivery performance.
• Any other assigned duties and responsibilities from time to time.

Requirements

• Bachelor's degree in supply chain background or any related field.
• Serve at least one (1) year working experience in supply chain or related field.
• Ability to adapt in a fast pace environment.
• Excellent communication and organizational skills.
• Data analytical skills, detail oriented and critical thinking is required.
• Basic Knowledge in supply chain (turnover, economic ordering quantity & etc.)
• Passionate in discovering new ideas and new ways of thinking.
• Continuous learning; learning new skills and knowledge by self-initiative and willing to take new challenges.
• Required language (s) : Mandarin, English and Bahasa Malaysia. Able to communicate, read and write in Mandarin is an added advantage.
• Strong background in Microsoft Word, Excel, Access and PowerPoint required.
• Ability to multitask well.
