About the role
We are seeking a detail-oriented and organized Purchasing Assistant / Admin to join our procurement team in Skudai Johor. This is a full-time position that plays a vital role in supporting our purchasing and inventory operations. You will be instrumental in ensuring the smooth flow of procurement activities, managing documentation, coordinating with suppliers, and maintaining accurate records that support the efficiency of our supply chain operations. This position offers an excellent opportunity to develop your skills within a fast-paced purchasing and procurement environment.
Key responsibilities
Processing and managing purchase orders, requisitions and procurement documentation
Coordinating with internal departments and external suppliers to ensure timely order placement and delivery
Maintaining and updating inventory records and stock management systems
Preparing quotations, purchase specifications and supplier comparison documents
Filing, organizing and archiving purchasing and procurement documents in a systematic manner
Assisting in the management of purchase invoices, payments and reconciliation processes
Supporting supplier communication and relationship management activities
Providing administrative support to the purchasing team, including data entry and report preparation
Monitoring delivery schedules and following up on outstanding orders
Assisting in the preparation of purchasing reports and analysis as required
What we're looking for
Completed secondary school education or higher; qualifications in business administration, procurement or a related field would be advantageous
Proven experience in a purchasing, procurement or administrative role, ideally within manufacturing or logistics sectors
Strong proficiency in Microsoft Office applications, particularly Excel and Word
Excellent organizational and time management skills with the ability to prioritize multiple tasks
Attention to detail and accuracy in data entry and document management
Good communication skills, both written and verbal, with the ability to liaise effectively with internal and external stakeholders
Basic understanding of supply chain and inventory management principles
Ability to work independently and as part of a team in a structured environment
Familiarity with procurement systems and inventory management software is preferred
Proactive approach with willingness to learn and develop within the role
