Job Description
1. Fleet Operations, Planning & Driver Management
- Plans and coordinates daily fleet operations including local, outstation, night and special deliveries while maintaining vehicle schedules and monitoring fleet availability, identifying shortages and rearranging resources with the Delivery Team during disruptions, and optimizing vehicle utilization, route planning and driver allocation while liaising with Delivery, Warehouse, Retail, Transporters and other departments.
- Monitors driver attendance, assignments, performance and discipline while conducting daily briefings on schedules, SOPs, safety and product updates as well as regular performance meetings, ensuring drivers comply with SOPs and safety requirements, handling and escalating driver feedback or complaints to the Senior Supervisor or HR, coordinating training and development, and acting on or escalating recurring discipline issues.
2. Transporter, Outsourced Fleet & Billing Management
- Coordinates outsourced drivers, transporters and third-party delivery services while maintaining a pool of reliable backup drivers and transporters, evaluating transporter performance based on availability, reliability, service quality, compliance and cost, arranging replacement drivers, vehicles or Lalamove services when outsourced transport is disrupted, and managing Singapore transportation arrangements with drivers, transporters and forwarding agents.
- Collects and verifies transporter invoices, Delivery Orders and supporting documents while checking billing against completed deliveries and agreed rates, resolving discrepancies before submitting verified invoices to Finance, and maintaining proper billing records.
3. Vehicle Maintenance, Documentation & Fuel/Cost Control
- Monitors vehicle condition to ensure vehicles are fit and safe for operation while coordinating servicing, maintenance, repairs and inspections including PUSPAKOM, maintaining maintenance and repair records, tracking road tax, insurance, permits and inspection requirements, following up with workshops to minimize vehicle downtime, and escalating major defects or breakdowns to the Senior Supervisor.
- Monitors mileage, fuel consumption, Touch 'n Go usage and other fleet-related expenses while reviewing usage to identify discrepancies or unusual consumption, monitoring costs against approved budgets, and identifying opportunities to reduce fuel consumption, unnecessary vehicle usage and overall transportation costs.
4. Compliance, Safety & Customer/Delivery Issues
- Ensures fleet operations comply with company policies, SOPs, safety requirements and applicable transport regulations while monitoring driver licenses, permits and required documents, communicating SOP or safety changes to drivers, reporting accidents and safety incidents to management, and identifying fleet-related risks while recommending preventive or corrective actions.
- Assists in resolving delivery-related customer complaints while investigating issues with drivers and relevant departments, following up on corrective actions, and monitoring recurring issues to recommend improvements that prevent recurrence.
5. Performance Reporting, Team Leadership & Process Improvement
- Monitors fleet performance through relevant KPIs and operational data while preparing reports on fleet utilization, vehicle availability, driver performance, fuel consumption, mileage, maintenance, transporter costs and incidents, maintaining accurate fleet records, and providing recommendations to management to improve fleet efficiency and cost control.
- Provides guidance, coaching and support to drivers and team members while promoting teamwork, discipline, accountability, safety and service quality, monitoring team performance and addressing gaps appropriately, and leading by example to maintain a positive working environment.
- Identifies inefficiencies and recurring issues within fleet operations while recommending and implementing improvements to scheduling, driver allocation, vehicle utilization, fuel control and transporter management without compromising service quality, and developing and maintaining fleet-related SOPs, checklists and control processes where required.
6. Communication
- Communicates effectively with Management, Delivery, Warehouse, Retail, HR, Finance and other relevant departments as well as drivers, transporters, forwarding agents, workshops and external service providers, while providing timely updates on fleet performance and operational matters.
Job Requirements
- A Bachelor's degree in a Business-related field with 2 - 3 years experience in the related field.
- Experience in handling a delivery would be may be advantageous.
- Good computer skills and the ability to use business support software.
- Strong customer service, project management, and quality control skills.

Pay: RM2,700.00 - RM3,500.00 per month
