Responsibilities

About the Role

We are looking for a proactive and analytical Raw Material Call Planner to join our Supply Chain team on a one-year contract basis.

Reporting to the Site Supply Chain Manager, you will be responsible for placing and managing raw material orders to ensure materials are delivered to the manufacturing site on time. This includes packed raw materials ordered from warehouses and bulk raw materials ordered directly from suppliers.

You will work closely with master planners, production schedulers, regional raw material planners, sourcing teams, suppliers and Operations to ensure the timely availability of raw materials and smooth execution of the production plan.

You will also support supplier performance management, inventory control, stock reconciliation, root-cause analysis and continuous-improvement initiatives within the Supply Chain function.

Key Responsibilities

Raw Material Planning and Call-Off

  • Place call-off orders for packed raw materials from warehouses and bulk raw materials from suppliers to support the production schedule.
  • Use Material Requirements Planning (MRP) information from the system to prepare raw material call-offs.
  • Coordinate internal call-offs through OMP, including alignment on cocoa-material requirements where applicable.
  • Monitor raw material requirements and ensure materials are available according to the production plan.
  • Maintain and revise raw material orders whenever there are changes to the production schedule.
  • Communicate order adjustments promptly to suppliers, warehouses and relevant internal stakeholders.
  • Ensure raw material orders are placed within the agreed supplier lead times.
  • Review master data regularly to ensure raw material lead times and planning parameters are accurate.

Supply Coordination and Issue Resolution

  • Work closely with production schedulers when raw materials are delayed, unavailable or insufficient to support production.
  • Proactively identify potential raw material shortages and coordinate appropriate recovery actions.
  • Conduct regular, bi-weekly reviews with suppliers to identify and follow up on potential supply constraints.
  • Coordinate with regional raw material planners and the sourcing team when supplier contracts are missing or unavailable.
  • Perform root-cause analysis for missing contracts and implement corrective actions with the relevant stakeholders.
  • Carry out root-cause analysis for production-line stoppages, unexpected costs and other operational issues linked to raw material availability.
  • Make key operational decisions independently when required to minimise supply disruption.
  • Escalate critical supply risks and material shortages to the relevant stakeholders in a timely manner.

Inventory and Tank Planning

  • Prepare short-term tank-planning requirements and communicate unloading plans to the Operations team.
  • Monitor raw material inventory to ensure stock levels do not exceed the storage space available at the factory.
  • Balance material availability, operational requirements and storage capacity when planning raw material deliveries.
  • Lead stock-reconciliation activities for both bulk and palletised raw materials.
  • Investigate stock discrepancies and coordinate corrective actions with the relevant teams.
  • Prepare details of cost impacts and supporting reasons following stock-reconciliation activities.

Supplier and Cost Management

  • Develop, manage and monitor KPIs relating to order changes initiated by suppliers and internal stakeholders.
  • Evaluate supplier performance through regular KPI monitoring and follow-up.
  • Lead and manage the slot-booking process for assigned SKUs.
  • Use the slot-booking process to improve delivery visibility, reduce waiting times and control waiting-related costs.
  • Follow up on and approve relevant external supplier invoices, particularly invoices involving waiting-time charges.
  • Work with suppliers to improve delivery performance and reduce repeated supply issues.
  • Maintain effective communication and professional working relationships with external suppliers.

Operational and Continuous-Improvement Support

  • Support weekly local Sales and Operations Execution (S&OE) activities.
  • Prepare and follow up on Non-Conformance Reports (NCRs) for assigned raw materials or SKUs.
  • Represent the Supply Chain function in assigned projects.
  • Participate in operational excellence and continuous-improvement initiatives.
  • Identify opportunities to improve material-planning processes, supplier coordination, inventory accuracy and delivery performance.
  • Ensure that all raw material planning and call-off activities comply with relevant quality assurance and safety requirements.
  • Carry out other relevant Supply Chain responsibilities assigned by the Site Supply Chain Manager.

Scope of the Role

The position is responsible for planning within the applicable raw material lead-time horizon. The scope includes packaging and ingredients used in the manufacturing process.

The role has no direct, indirect or dotted-line reports and does not own a departmental budget. No regular travel is expected.

Requirements

Education and Experience

  • Bachelor’s degree, preferably in Business, Supply Chain, Logistics, Engineering or a related discipline.
  • Approximately one to three years of relevant experience in supply planning, material planning, production planning, procurement or another related Supply Chain function.
  • Experience in a manufacturing or fast-moving operational environment would be an advantage.
  • Good understanding of Supply Chain management principles and practices.
  • Understanding of integrated supply planning processes.
  • Familiarity with raw material planning, distribution requirements planning and production scheduling.
  • Previous experience working with suppliers and cross-functional operational teams would be advantageous.

Technical and Functional Skills

  • Strong proficiency in Microsoft Excel.
  • Previous hands-on experience with SAP is preferred.
  • Experience using OMP, BusinessObjects or other Supply Chain planning and reporting systems would be an advantage.
  • Ability to interpret MRP requirements and translate them into appropriate material call-off actions.
  • Strong numerical, analytical and problem-solving capabilities.
  • Able to conduct structured root-cause analysis and recommend corrective actions.
  • Good understanding of inventory management, order management and supplier-performance monitoring.
  • Process-oriented with strong attention to detail and data accuracy.
  • Ability to learn new systems, tools and processes quickly.
