Position Summary

We are seeking a proactive and experienced HR Executive to take responsibility for the school's HR functions and serve as the main point of contact for employees and management on HR-related matters.

The role will oversee the employee lifecycle, including recruitment, onboarding, employment contracts, leave and attendance, performance management, employee relations, HR documentation, and offboarding. The position will also be responsible for ensuring that HR practices and employment documentation comply with applicable Malaysian employment legislation and statutory requirements.


Key Responsibilities

  • Manage the full employee lifecycle, including recruitment, onboarding, employment changes, contract renewals, reappointments, and offboarding.
  • Act as the main point of contact for employees and management on HR-related matters, providing appropriate guidance and support.
  • Prepare, review, and maintain employment contracts, reappointment letters, job descriptions, HR policies, and other employment-related documentation.
  • Ensure employment contracts and HR practices comply with the Employment Act 1955 and other applicable Malaysian employment legislation.
  • Monitor compliance with statutory requirements relating to working hours, rest days, public holidays, annual leave, sick leave, maternity leave, paternity leave, termination, and other employee entitlements under applicable employment legislation.
  • Maintain accurate records relating to employee attendance, leave, sick leave, holidays, contracts, and other employment matters.
  • Ensure proper and timely maintenance of statutory employee records and documentation required under Malaysian employment regulations.
  • Coordinate and monitor statutory employment obligations, including EPF (KWSP), SOCSO, and other applicable statutory requirements, in coordination with the Finance Manager and relevant authorities.
  • Support accurate employee payroll information and ensure that changes to salary, allowances, leave, deductions, and employment status are properly communicated and recorded.
  • Coordinate recruitment activities, including preparing and posting vacancies, arranging interviews, communicating with candidates, and supporting the selection process.
  • Ensure appropriate HR documentation and onboarding processes are completed for new employees, including required access and employment records.
  • Coordinate annual staff appraisal processes in collaboration with relevant Heads of Department.
  • Manage employee feedback and engagement processes, including staff surveys and reporting.
  • Support employee relations matters, including addressing workplace concerns, disciplinary matters, grievances, and other employee issues in accordance with company policies and applicable employment requirements.
  • Maintain strict confidentiality and appropriate handling of employee personal data and sensitive HR information.
  • Keep up to date with changes to Malaysian employment legislation, statutory requirements, and HR best practices, and advise management where HR policies or practices require review or adjustment.
  • Coordinate staff learning and development initiatives and liaise with external training providers and partners.
  • Coordinate volunteer onboarding, offboarding, and related HR records.
  • Support staff engagement and wellbeing initiatives, including work anniversaries, birthdays, team activities, and end-of-term celebrations.
  • Liaise with the Finance Manager and relevant external agencies on HR and statutory matters when required.


Qualifications & Experience

  • Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
  • Minimum 3 years of relevant HR experience, preferably with experience managing HR functions independently.
  • Strong working knowledge of Malaysian employment legislation and statutory HR requirements.
  • Good knowledge of the Employment Act 1955, including employee entitlements, working hours, leave, contracts, termination, and other employment conditions.
  • Working knowledge of EPF (KWSP), SOCSO, and other applicable statutory employment requirements.
  • Experience preparing and managing employment contracts, HR policies, employee records, and other HR documentation.
  • Experience handling recruitment, onboarding, employee relations, performance management, and offboarding.
  • Strong interpersonal and communication skills, with the ability to handle sensitive employee matters professionally.
  • Excellent organisational skills and attention to detail.
  • Strong ability to maintain confidentiality and manage sensitive employee information.
  • Ability to work independently, take ownership of HR processes, and advise management on HR-related matters.
  • Positive, proactive, and growth-oriented mindset.
  • Competent in Microsoft Office and Google Workspace.
  • A team player who can collaborate effectively with colleagues, volunteers, school leadership, and external partners.
  • Experience working in a diverse, multicultural, or educational environment is an advantage.
