We are seeking a suitably qualified, high-performing HR professional to join our firm as an HR Executive. This role is primarily responsible for driving end-to-end recruitment activities to attract, screen, and onboard talent that fits the organisation's needs and culture.
In addition to recruitment, the ideal candidate will support broader HR operations, including policy and procedure development, employee relations, and HR administration. Candidates with a working knowledge of IT systems, HRIS platforms, and process documentation will be strongly preferred, as this role will also contribute to digitising and structuring HR policies and workflows.
Key Responsibilities
1. Recruitment & Talent Acquisition (Primary Focus)
- Manage full-cycle recruitment: job posting, sourcing, screening, interviewing, and selection for various levels and departments.
- Partner with hiring managers to understand manpower requirements and prepare accurate job descriptions.
- Source candidates through job portals, social media, LinkedIn, employee referrals, and recruitment agencies.
- Conduct initial resume screening and virtual pre-screening/interviews to shortlist qualified candidates.
- Coordinate and schedule interviews between candidates and hiring managers.
- Manage the offer process, including salary negotiation coordination, offer letter preparation, and background verification.
- Maintain and update the applicant tracking system or recruitment database with candidate status and pipeline reports.
- Build and maintain a talent pipeline for critical and recurring roles.
- Track recruitment KPIs (time-to-hire, cost-per-hire, offer acceptance rate) and prepare recruitment reports for management.
- Own the recruitment timeline end-to-end to ensure each hiring process (from job requisition to offer acceptance/onboarding) is completed within the agreed timeline set by management or hiring managers.
- Proactively follow up with hiring managers, candidates, and agencies to prevent bottlenecks, and escalate delays early with clear action plans to keep hiring on track.
- Monitor and report on turnaround time for each recruitment stage (screening, interview scheduling, offer issuance) and flag at-risk positions before deadlines are missed.
- Manage employer branding initiatives, including job fairs, campus recruitment, and social media hiring campaigns.
- Ensure a positive candidate experience throughout the hiring process.
2. Onboarding & Employee Lifecycle Management
- Coordinate new hire onboarding, including documentation, orientation scheduling, and system access setup.
- Prepare employment contracts, confirmation letters, and other employment documentation.
- Support probation review processes and confirmation procedures.
- Assist with employee offboarding, including exit interviews and clearance processes.
3. IT Support & Coordination
- Coordinate with the IT support team to troubleshoot day-to-day issues related to employee laptops and devices (e.g., login problems, software glitches, hardware malfunctions), and follow up until issues are resolved.
- Act as the point of contact between staff and IT support for device-related requests, ensuring timely resolution and minimal disruption to employees' work.
- Develop and maintain IT-related policies and procedures to safeguard company devices and data such as guidelines on device usage, password protection, data backup, and reporting lost/damaged equipment.
- Maintain a simple log/tracker of recurring device issues to help identify patterns and recommend preventive measures (e.g., device replacement schedules, maintenance reminders).
- Ensure HR and IT-related policies are properly documented, version-controlled, and easily accessible to employees.
- Assist in preparing simple user guides or reminders for staff on proper device care and data security practices.
- Basic IT troubleshooting knowledge (e.g., resolving common laptop/software issues) is an added advantage.
4. HR Operations & Employee Relations
- Maintain accurate and up-to-date employee records (physical and digital) in compliance with data privacy requirements.
- Handle day-to-day HR queries related to leave, attendance, benefits, and general employment matters.
- Support payroll input coordination (e.g., attendance, leave records, new hire/termination data) where applicable.
- Assist in organising employee engagement activities, training sessions, and internal communications.
- Ensure compliance with local labour laws, statutory requirements, and internal company policies.
5. Reporting & Administration
- Prepare periodic HR reports (headcount, turnover, recruitment funnel, etc.) for management review.
- Maintain confidentiality of sensitive employee and company information at all times.
- Perform other ad-hoc HR/IT/Admin duties and projects as assigned.
Requirements:
Education & Experience
- Bachelor's Degree in Human Resource Management, Business Administration, or related field.
- Minimum 2–4 years of relevant HR experience, with a strong track record in recruitment/talent acquisition.
- Experience in policy/SOP writing or HR/IT process improvement is an added advantage.
Skills & Competencies
- Strong end-to-end recruitment experience across multiple channels and job levels, with a proven ability to manage hiring timelines and close positions within target timelines.
- Excellent communication, interpersonal, and interviewing skills.
- Good command in English; both oral and written
- Strong writing skills for drafting clear, professional policies, procedures, and reports.
- Good understanding of labour laws and HR best practices.
- Proficient in Microsoft Office
- Experience liaising with software/system vendors for support tickets, system updates, and issue resolution.
- Comfortable working with data, building simple trackers, and using formulas in Excel/Google Sheets.
- Highly organised, detail-oriented, and able to manage multiple priorities/deadlines.
- High level of integrity and ability to handle confidential information responsibly.
- A proactive, solution-oriented mindset with the ability to work both independently and collaboratively.
