The Role

The Sales Admin Executive plays a key role in supporting Finance (partial Accounts Receivable functions) and Sales Operations (Sales Order & Billing Processing) by ensuring the accurate, efficient, and timely processing of sales and financial transactions. This position helps improve operational effectiveness, supports customer satisfaction, and facilitates seamless coordination among the Operations, Sales, and Finance teams while ensuring compliance with internal policies and regulatory requirements. The ideal candidate possesses excellent organizational skills, attention to detail, strong problem-solving abilities, proficiency in Microsoft Office applications, and the ability to manage multiple priorities in a fast-paced environment. Additional administrative and ad hoc duties may be assigned from time to time.

Key Accountabilities

Sales Support

  • Validate and reconcile sales orders and pricing; coordinate with operations, finance, and sales for timely fulfillment and posting.
  • Serve as primary contact for invoice-related inquiries; collaborate with internal teams to resolve issues promptly.
  • Prepare invoices, statements of account, track payments, and follow up on outstanding balances.
  • Month-End Closing: Ensure accurate and timely recording of payments and invoices in SAP.
  • Maintain strong relationships through clear communication and exceptional service.

Data Management & Reporting

  • CRM Maintenance: Update customer profiles and sales activity records.
  • Sales Reporting: Generate forecasts, KPI reports, and revenue analysis for management.
  • Document Management: Organize contracts, agreements, and customer records.
  • Process Compliance: Ensure adherence to audit and procedural standards.
  • Commission Calculation: Prepare and compute sales commission reports.
  • Generate reports for internal monitoring and QA purposes.

Administrative & Coordination

  • Internal Collaboration: Act as liaison between sales and other departments (finance, marketing, logistics) to ensure smooth operations.
  • Team Support: Assist sales and finance teams with reporting.

Skills & Experiences

  • Diploma or degree in business or related field preferred.
  • Background in sales support, administration, customer service, or AR roles.
  • Technical Skills: Advanced Microsoft Office skills; familiarity with ERP/CRM systems (SAP, Salesforce).
  • Strong written and verbal skills for client and team interaction.
  • Ability to manage multiple priorities and meet deadlines.
  • Ensure accuracy in records and transactions.
  • Proactive approach to resolving issues.
  • Thrive in fast-paced environments.
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
